Document Control Coordinator

to support our project management, operations, and field teams.

Position Overview



The Document Control Coordinator is responsible for managing project documentation throughout all phases of the project lifecycle. This role ensures all documents are accurate, complete, properly stored, and easily accessible. The ideal candidate is proactive, organized, and comfortable working in a fast-paced construction environment.

Key Responsibilities



Document Control - Site



Track and file submittals, RFIs, and project documentation. Maintain version control and ensure distribution to all relevant parties. Maintain and organize documentation for materials, equipment, BOLs/tickets, and other supporting documents for invoice compliance and project records. Ensure all documentation is updated, accurate, and routed appropriately.

General Project Support



Maintain, organize, and track project files, drawings, contracts, submittals, and change orders. Manage document flow between internal teams, clients, subcontractors, and vendors. Upload, distribute, and update project documentation in systems such as SharePoint, Penta, and other project management platforms. Support project kickoffs by setting up document structures and file templates. Maintain and monitor logs for RFIs, submittals, and drawing revisions. Ensure compliance with company policies, safety standards, and client documentation requirements. Assist Project Managers and field personnel in retrieving and submitting documents. Provide administrative support as needed.

Qualifications



1-3 years of experience in document control, project coordination, or office administration
(construction or utility environment preferred).

Strong attention to detail with excellent organizational skills. Proficiency in Microsoft Office and experience with document management systems (SharePoint, etc.). Ability to learn company-specific platforms such as Penta or doForms. Effective communication skills with the ability to support both office and field teams. Strong follow-through, time management, and recordkeeping abilities.

Preferred Skills



Experience with construction or electrical utility documentation processes. Knowledge of drawings, blueprints, or submittal workflows. Familiarity with data entry, reporting, and document logs.
