Job Summary
We are seeking a detail-oriented and compassionate Dental Office Patient Coordinator/Administrator to join our dental practice. The ideal candidate will provide exceptional administrative and clinical support, ensuring smooth daily operations and a positive patient experience. This role involves managing patient records, scheduling appointments, verifying insurance, and assisting with clinical documentation in a fast-paced dental environment. Experience with electronic health records (EHR) systems such as Dentrix, Curve, Dental App or similar platforms is highly preferred. In addition to EHR competence, the candidate would ideally be proficient in computer technologies such as but not limited to Microsoft Office, Microsoft Excel, electronic payment processing and electronic dental insurance submissions. This position plays a vital role in maintaining compliance with HIPAA regulations and supporting the delivery of quality dental care.
Duties
Greet patients warmly and manage front desk operations including multi-line phone systems and patient check-in/check-out procedures
Schedule appointments using dental office management software such as Eaglesoft, Dentrix, Curve or Dental App
Verify insurance coverage, process claims, and handle insurance verification efficiently
Manage patient records, including documentation review, filing, and updating electronic health records
Assist with dental billing and coding tasks, ensuring accurate documentation for billing purposes
Collect payments and perform collections as needed while maintaining HIPAA compliance,
Support clinical staff with tasks such as intake procedures, and documenting care plans
Maintain organized filing systems for medical records and ensure confidentiality of sensitive information
Provide excellent patient service through phone etiquette, appointment reminders, and addressing patient inquiries professionally
Support office management tasks
Experience
Prior DENTAL clinic or dental office experience REQUIRED
Experience with EMR/EHR systems such as Eaglesoft, Dentrix, etc.
Knowledge of medical/dental billing, coding, insurance verification, and health information management is required
Demonstrated ability to handle administrative support tasks including scheduling, patient service, filing, and office management
Strong computer skills and multitasking ability
Excellent communication skills with a focus on customer service and phone etiquette
Ability to maintain HIPAA compliance while managing sensitive patient information in a fast-paced environment
