Under the direct supervision of the Vice President of Operations, the Customer Service and Inside Sales Representative will work closely with the Sales Engineer, customers and internal staff to ensure proper handling of customer orders. This role acts as a facilitator between AccuCoat sales, production and quality and the external customer. The role includes a number of administrative and customer service functions such as creating sales quotes, processing requests for customer orders, responding to customer inquiries and updating customers on delivery schedules. This role will also provide back-up and support to the AccuCoat Office Manager. The pay range for this position is $28 - $30 per hour.
Job Responsibilities:
Customer Relations
Act as a facilitator between customers and internal AccuCoat Departments (production, quality and shipping) through ongoing communications
Develop positive relationships with customers through frequent communications via email and phone
Support customers with their order management and scheduling needs
Answers questions and resolve inquiries from both AccuCoat customers as well as internal AccuCoat departments (production, quality and shipping), while keeping appropriate sales personnel informed
Work as a team with Sales Director to provide the best experience for AccuCoat customers
Appropriately respond to and escalate customer complaints as required
Respond to customer quality issues working with quality engineer
Issue RMA numbers and forms to customers as requested by quality engineer
Track RMA progress and maintain log
Administration
Set up new customers in QuickBooks, control credit requests
Process customer purchase orders and maintain accurate status
Data Entry into PO Log
Prepare paperwork for incoming orders. Start the NPWS process on new orders
Confirm dates and product receipt for customers
Maintain Zoho database
Initiate customer invoices
Create sales reports in Zoho and Quickbooks as requested by management
Back up for Office Manager for shipping and receiving, answering phones and other duties. Maintain a working knowledge of Office Manager role.
Quoting
Verify quotations and pricing match all incoming orders
Assist with generating quotations, entering into Zoho and sending to customers
Quote follow up as requested by Vice President of Operations.
Maintain annual file retention for quotes, customer files, and all sales department related files
Sending RFQ's to Thin Film Coating Engineer for pre-screening. If approved develop and track pre-quote. If not approved, send them to Vice President of Operations to contact customer.
Shipping and Receiving
Work with Office Manager to handle all shipping and receiving.
Receive product and store in assigned area
Move materials and paperwork to production staging area
Monitor ship dates and notify customers of any changes
Work closely with shipping/receiving and moving materials to staging area
Assist customers with delivery or pick up on orders
Create packing slips and shipping labels and place on packages
Resolve customer scheduling issues and expedite requests
Qualifications:
Detailed oriented and organized - able to manage multiple tasks while ensuring accuracy
Strong communicator - excellent verbal and written communication skills
Customer-focused - ability to engage with clients professionally and efficiently
Self-Motivated - A proactive approach to problem solving and teamwork
Education - High School diploma or general education degree (GED)
3- 5 years customer service or related experience, or an equivalent combination of education and experience
Proficient with Microsoft Office applications (Word, Excel, Outlook)
Knowledge of Quickbooks and Zoho software preferred
