Inside Out Chiropractic is in search of a Patient Experience / Customer Care Advocate
We are in search of an outgoing, positive, compassionate team member to serve at the front desk of a thriving chiropractic practice as a Customer Care Advocate. This role is critical in executing day-to-day operational elements that create exceptional patient experiences throughout the chiropractic care journey. You'll serve as the frontline support for patient interactions, scheduling and new patient integration, while enhancing the overall patient experience with excellence and operational efficiency.
Key Responsibilities:
In-Office Patient Experience Excellence
Execute exceptional patient experience protocols at every touchpoint, creating welcoming, professional and caring interactions that serve as the primary face of the practice
Greet and welcome all patients with warmth, professionalism and genuine care
Monitor patient satisfaction through direct observation and informal feedback collection
Provide immediate support and resolution for patient concerns and questions
Maintain professional appearance and demeanor that reflects practice values
Assist patients with forms, directions, and general practice information
Create positive first and lasting impressions for all patient interactions
New Patient Coordination and Follow-up
Coordinate new patient experience from initial inquiry through scheduling them according to their plan of care
Address new patient questions and concerns with empathy and expertise
Coordinate new patient appointment scheduling and process financial explanations of care costs
Patient Scheduling Excellence
Manage patient appointment scheduling with excellence, optimizing clinical team schedules while accommodating patient preferences and complex scheduling needs
Handle appointment changes, cancellations, cancellation fees and rescheduling requests
Maintain accurate scheduling records and update patient information
Monitor schedule gaps and proactively fill appointment openings
Computer use/knowledge is required, as we use electronic health software for scheduling and documenting patient care
Office Support & Administrative Excellence
Provide essential administrative and operational support that maintains a professional, organized and efficient practice environment
Maintain organized and professional front office, reception waiting area, adjusting rooms, exam and x-ray rooms, front office, play areas and storage closets
Assist with patient communication, including phone calls, emails and messaging
Provide backup support for various administrative functions as needed
General office duties such as light cleaning, emptying trash, laundering patient gowns (on site), shredding, copying, filing, printing, organizing, patient communications, supplement inventory and ordering
Community Connection and Events Support
Support community workshops or special events through logistics coordination, patient communication, and day-of execution
Assist with event setup, registration, attendee check-in, and material distribution
Support event marketing efforts through patient communication and invitation distribution
Help with interoffice marketing campaigns or patient appreciation events with team player energy

At Inside Out Chiropractic, we are partnering with families to provide exceptional chiropractic care in Altoona, Iowa. We have two doctors on staff (Dr Lacey & Dr Ellie) who specialize in the Gonstead technique, which provides an unparalleled level of detailed analysis and care of the spine. We serve men, women and children of all ages with a wide variety of health concerns ranging from: colic, reflux, headaches, back and neck pain, hormonal issues, chronic stress, sleep disturbances, disc herniations and chronic conditions of the spine.
Many of our practice members receive regular chiropractic care as a part of their wellness / preventative health maintenance! Our doctor's niche is taking care of women and children, as we're both mothers ourselves and find so much joy sharing chiropractic care with this population and helping families health thrive.
We value getting to know our practice members and they essentially become an extension of our "office family". We have the desire to create a family-friendly office where the entire family feels welcomed and cared for. Kids love to play in our play area and a candidate would need to be comfortable making kids and families feel at home in our space, and occasionally lending a helping hand with kiddos when needed.

The current office schedule listed below, is split between two Chiropractors.
Monday 8:30am-12:00pm & 2:00pm-6:30pm
Tuesday (Reserved for new patients, 10:00am-2:00pm)
Wednesday 7:30am-12:00pm & 2:00pm-5:30pm
Thursday 8:30am-12:00pm & 2:00pm-6:30pm
Friday 8:30am-1:00pm

Expected hours: 20 - 35 per week
