This position is a Full-Time, Union Represented position. Starting salary range is $3,543 to $3,988 monthly salary, ($20.44-$23.00 hourly), range is set to increase by 2.5% to $3,632 to $4,087 as of July 1st, 2023. Additional Benefits:

General Position Summary: This position performs a variety of clerical and administrative duties related to the operations of the Municipal Court. The specific duties include the preparation and maintenance of records, coordination of court dockets and proceedings, serving as the Court Administrator, and is frequently required to interpret governing regulations, laws, and policies and procedures. Responsibilities:
  • Prepare and maintain court dockets which includes filing citations and misdemeanor complaints, setting up accounts, and assembling the necessary documents.
  • Schedule all future court appearances, including hearings and jury trials.
  • Set up and prepare for cases to be heard via Zoom and/or by phone, when allowed.
  • Enter all court actions into Court management software.
  • Process release agreements, orders to appear, and sentence orders as directed by the judge.
  • Prepare warrants and show cause orders for the judge\'s signature, contempt of court complaints, and suspension orders, as well as perform follow-up work as necessary.
  • Monitor probation, diversion, and violation cases for payments due, diversion cases for compliance.
  • Communicate and coordinate with the Police Department on all court related issues.
  • Record payment information in the Court Management software.
  • Calculate and prepare disbursements to appropriate agencies including bails, fines and assessments, and victim restitution awards.
  • Prepare documents, files, and statistical reports for state and other agencies, prosecutors, and attorneys.
  • Enter disposition and amendments of criminal cases via EJSM (electronic entry of judicial disposition) to the Orgon State Police Bureau of Criminal Identification.
  • Prepare abstracts on disposition of traffic citations and send to the Department of Motor Vehicles.
  • Answer inquiries from law enforcement officers, attorneys, and the public in person, over the phone, or in writing regarding citations, court dates, non-payment of fines, postponements, jury duty, and process requests for court records.
  • Summon jurors for jury trials.
  • Prepare files on jurors for the Judge, prosecutor, and defense attorney.
  • Assist with annual Court budget and monitoring expenditures.
  • Accept plea for violations and set fine and payment schedules.
  • Process all accounts in default with he appropriate penalties, including suspension of driving privileges and turn accounts over to collection agencies.
  • Keep legal files current, both in the judge\'s office and in the court office, keep legal forms and books current and stocked.
  • Schedule and monitor compliance of roadcrew. Refer defendant\'s to community service non-profit agencies and monitor compliance.
  • File, record, verify, and facilitate LEDS & NCIC policies and LEDS trainings regularly.
  • Assist the Finance Department staff with projects and tasks as needed.

Abilities to:
  • Comprehend the legal and Judge-imposed limitations in response to court matters
  • Exhibit good judgment in handling court related matters.
  • Perform general office tasks such as handling bank deposits, retrieving and sorting mail, ordering and maintaining office ad computer supplies.
  • Understand, interpret, and apply laws, codes, and regulations governing the administration of a municipal court.
  • Maintain confidentiality.
Technology
  • Ability to set up and coordinate virtual court appearances and meeetings.
  • Use of multi-line phone system.
  • Highly proficient in Microsoft Office, Zoom, and LEDS.
  • Operation of standard office equipment.

Job Requirements:
Education:
  • High school diploma or equivalent
  • Continued education or certifications in a related field preferred.
Experience:
  • Previous experience in a municipal court preferred.
  • Experience in another type of court or agency with an active court function, or a combination of experience and training which demonstrates the ability to effectively perform the essential functions of the position.
  • High proficiency in Microsoft Office and Court management system software\'s.

SPECIAL REQUIREMENTS AND CERTIFICATIONS:
  • LEDS certification or ability to obtain after hire date.
  • Ability to obtain memberships in professional court-related associations as needed.

Work Environment
: Ability to perform duties with occasional sitting, twisting, bending, pushing and pulling up to 25 pounds, and lifting and carrying up to 15 pounds; frequent standing, walking, stooping, kneeling, squatting, and reaching and grasping high, low, and moderate areas; and constant speaking, hearing, seeing, and gross manipulation. This position is generally performed in comfortable conditions. Exposure to different levels of noise with work conducted in open community spaces.
