This position interacts with club staff and club members to coordinate, write and distribute information about club events and other important and timely communications to members. The position is responsible for assuring all information is correct, and timely distributed and posted on multiple platforms. This position also supports prospective members in the process to membership.
Part-time: 29 hours a week
Hourly rate: $19.00 to $24.00 depending on experience
Key Responsibilities and Priorities for Communications Writer and Coordinator:
1) Timely collection and updating of information related to member events and members.
2) Write, edit, develop, and design weekly and monthly communications to members.
3) Proactively keep website and social media platforms up to date for members and prospective members.
4) Serve as the primary contact for membership inquiries and prospective members' process.
5) Presence at member events to take photos and write summaries on events.
Essential Functions and Percent of Time to Duties and Responsibilities:
35% Timely collect, update and confirm event and member information
Maintain consistent communications and coordination with staff members, committee chairs, co-chairs, and event coordinators about upcoming events.
On at least a weekly basis, obtain from staff and chairs of committees, information and updates about upcoming events. Initial information must be collected at least one month before events, and continually updated.
Confirm information about events. Consolidate and share information with staff members, committee chairs, and key club members as needed to coordinate the proper timing of distribution of the information by email or through other platforms.
Attend evening committee meetings to work with committee members on events and understand upcoming events in order to promote the events.
Proactively keep current member information up to date. Assure accuracy and integrity of the Club's membership database, ensuring timely updates on resignations, transfers, and member contact details. Communicate changes to relevant departments.
30% Write, edit, develop, and design weekly and monthly communications to members
Timely prepare emails that will be distributed to members during the week. Timeliness includes confirming correctness of the information, and preparing in advance DRAFTS for review and revisions.
Timely develop, write, design monthly newsletter for members that will be posted on the internal website and printed and mailed to members. Timely gather from all club sources information for the newsletter.
Create promotional flyers for events to be emailed to members and posted to the website to support club events and initiatives.
Assure timely completion of all drafts-emails, newsletters, promotional flyers, etc.--for proper, consistent review. Review must include spacing of copy and photos and their look on all platforms. Detailed review for typos and spelling errors is expected. Final review of drafts may be conducted by a club member, including the Club President if requested. Final reviews by General Manager.
Execute delivery of emails on agreed days and post and mail newsletters by requested dates.
Understand the Club's brand guidelines and consistently uphold and promote the Club's brand identity across all communication channels.
15% Proactively keep website and social media platforms up to date
Work with staff and members to maintain the Club website and mobile app.
Regularly review the website to assure updated content, and work with appropriate parties, to update the public and member-exclusive content to enhance user experience and support member engagement.
Add and distribute content on Club's social media platforms including Facebook, Instagram, and Linked-In ensuring alignment with the Club's branding and approved messaging.
10% Serve as the primary contact for all membership inquiries and prospective members
Pull and respond to inquiries from prospective members submitted through website, email or phone.
Conduct personalized Club tours, clearly communicating the benefits of membership, as well as all associated costs and fees.
Guide prospective members through the application and enrollment process.
Coordinate with Membership Committee Chairs on outreach to prospective members through Club communications.
10% Presence at Events and other Items as Needed
Attend events to take photos and write copy about the event for use in all mediums.
Information used for future member emails, and postings for members and prospective members.
Qualifications for the Position:
Knowledge
Understanding of multiple forms and methods of communications on multiple platforms to a wider audience.
Understanding of protocols and appropriate forms of reaching out and communicating with staff, members, and potential members.
Understands importance of being prepared for conversations, and is conscience and considerate of the use of a person's time when collecting and coordinating information.
Skills:
Proven verbal and written communication skills
Proven experience editing and proofreading copy
Basic graphic design skills
Proficient in Microsoft Office
Abilities:
Organized with the ability to manage multiple projects and meet deadlines.
Collaborative and able to work with others to meet goals and objectives.
Technologically savvy. Able to work in software programs and learn new programs, including CRM platforms, content management systems, Canva, and email marketing tools.
Able to develop and maintain professional working relationships
Experience Required:
2-4 years relevant experience with a country/city club, a membership-based organization, the hospitality industry, or a trade organization, an association, a non-profit, or other with proven relevancy.
Experience Preferred:
Experience in hospitality management and/or an Associate's degree in communications or similar.
Familiarity with design software such as Canva or Adobe InDesign preferred.
Location and Conditions of Work Setting:
This is not a remote position. All work must be done on-site at the Club, which is a comfortable club environment. May share work space with co-workers. No travel required.

This individual will work under the direction of the General Manager, working daily with other staff members. As needed, this position may interact with Club officers, directors, and members.
