Clinical Services Manager
based in the
Tulsa, Oklahoma
area to lead our clinical coordination team, drive operational efficiency, and ensure that every client and candidate receives outstanding support.
Position Overview
The
Clinical Services Manager
oversees the daily operations of our Clinical Services Department, manages a team of coordinators, and ensures timely, accurate scheduling and processing of drug screens and occupational health services. This role blends hands-on coordination work with leadership, coaching, performance management, and KPI ownership.

Key Responsibilities: Team Leadership & Operations
Lead, mentor, and develop a team of clinical coordinators.
Oversee and participate in daily workflow, case distribution, productivity, and quality.
Provide live coaching and support for escalations, complex cases, and clinic/vendor challenges.
Clinical Services Coordination
Coordinate pre-employment drug screens, physicals, and other occupational clinical services.
Ensure accurate documentation, scheduling, and follow-through with clinics, laboratories, and candidates.
Resolve issues with clinics, candidates, and clients in a professional, timely manner.
Performance Management & KPIs
Monitor and manage departmental KPIs, including turnaround time, error rates, candidate experience, client satisfaction, and completion rates.
Identify trends, bottlenecks, and opportunities for operational improvement.
Develop and implement process enhancements to improve efficiency and service quality.
Quality, Compliance & Communication
Ensure all work aligns with internal policies and regulatory requirements.
Collaborate with leadership to refine procedures, workflows, and performance standards.
Communicate effectively with clients and internal teams regarding clinical service matters.
Qualifications: Required
Must reside in the state of
Oklahoma
.
Minimum 2 years of experience in a fast-paced administrative, coordination, operations, or customer service environment.
Demonstrated experience in a role requiring high accuracy and strong follow-through.
Strong written and verbal communication skills.
Ability to lead and motivate others.
Highly organized with strong time-management and prioritization abilities.
Comfortable working independently in a remote environment.
Highly proficient with computers, online platforms, phones and basic reporting tools.
Preferred
Prior leadership or team-lead experience.
Experience coordinating drug screens, occupational health exams, medical services, or similar workflows.
Familiarity with KPIs, workflow management, or operations reporting.
