Position

Summary

: You will play a crucial role in supporting the daily operations of our clinic, ensuring seamless administrative functions, and contributing to our commitment to excellence in IV health and wellness. As the backbone of office efficiency, this role involves managing schedules, handling client inquiries, maintaining records, and assisting with the coordination of clinic services. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for healthcare. They will help Iowa IV continue to provide the highest standard of professional patient services.

Responsibilities:

Customer Service:

Welcome patients warmly, facilitate their check-in and check-out processes, distribute necessary forms, manage charting, and handle incoming calls as part of reception duties. Coordinate with other staff members to manage patient flow within the clinic, minimizing wait times and enhancing the patient experience.

Scheduling:

Schedule and confirm patient appointments using our clinic management software to ensure accurate and efficient calendar management.

Service Education:

Inform patients and their companions about treatment options and additional services available, ensuring they receive timely and accurate information.

Patient Preparation:

Assist the on staff provider in organizing and preparing treatment area and equipment prior to appointments, ensuring all necessary supplies are available and ready for use.

HIPPA & Documentation:

Process and file patient documentation, ensuring privacy and compliance with healthcare regulations.

Office Cleanliness:

Uphold cleanliness and orderliness within the clinic, ensuring a safe and welcoming environment for both patients and staff as verified through feedback.

Supply Management:

Contribute to the cost-effective use of supplies and maintain clinic equipment in a clean, safe state.

Implementation:

Assist in the development and implementation of office policies and procedures to improve efficiency and service quality.

Monitor Incoming Emails:

Provide support in managing the clinic's email, responding to inquiries and updating information as necessary.

Personal Hygiene:

Maintain high standards of personal cleanliness and hygiene at all times.

Patient Communication:

Serve as an intermediary between patients and medical providers as needed, facilitating efficient communication and support.

Project Support:

Execute additional administrative tasks and responsibilities as directed by the office manager.

Staff Meetings:

Participate in staff meetings and training sessions to stay updated on the latest clinic practices and technologies.

Temperature Monitoring:

Conduct daily temperature checks for medication/vitamin storage and warmers to ensure optimal storage conditions.

Office Oversight:

Handle opening and closing duties for the office.

Cash Drawer Closure:

Ensure cash drawer closure during closing duties.

Concierge Scheduling:

Manage scheduling for concierge services.

Job Skills & Requirements:

Communication:

You will be communicating directly with patients/clients who could be scared, in pain or in shock. Families/friends will have questions and want answers. You will need to be an active listener and effective communicator to help keep everyone informed and answer any questions that may arise

Learning/adaptability:

You will be faced with some non-routine situations where you will need to use critical thinking and decision-making skills to determine the best plan of action

Organization:

You will face multiple patients, with differing needs, stages of health and risks. Being organized and knowing how to prioritize will be helpful

Passion for health and wellbeing

Compassion:

You will need to be sympathetic to a patient's needs and be able to deal with people in various states of pain, ailments and complaints

Attention to details:

Calm under pressure:

Although unlikely, it's possible you may face emergency, life-or-death situations. Being able to function in the heat of an emergency will be necessary

You will be a part of the patient care process where you will be required to follow the HIPPA guidelines of patient confidentiality

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires intermittent physical activity, including standing, walking, bending, kneeling, stooping, and crouching as well as lifting various amounts

Qualifications:

Must have associates degree or higher Must be or become CPR certified within 90 days of employment EMT or CNA certification a plus 2+ yrs of experience in office or clinic role preferred Analytical thinking skills, ability to exercise sound judgment when making decisions and exceptional attention to detail Strong organizational and time management skills and the ability to prioritize Exceptional written, verbal communication skills and interpersonal skills Must be customer service oriented and prepared to liaise with patients, their families and other care providers as necessary
