Job Description

As a Clinic Services Specialist you will serve Lawrence-Douglas County Public Health by providing a positive first impression and delivering quality service to customers (clients, colleagues and co-workers). Serve as a member of the clinic care team working daily with RNs, Dietitians, Clinic Assistants, and other Clinic Services Specialists. Support the fulfillment of the organization's mission and values



Administrative Duties:


Manage patient scheduling, including appointments and follow-ups. Maintain and update patient medical records with accuracy and confidentiality. Ensure proper coding and documentation for accurate billing and medical records. Process insurance paperwork, verify eligibility, and assist with billing questions or claims resolution. Serve as the first point of contact for patient inquiries - via phone, email, or in person - and relay accurate information in a courteous and timely manner Assist with call backs (clients, pharmacies, insurance companies) to ensure prompt, prioritized client care. Coordinate care with external providers (e.g., specialists, labs, pharmacies). Communicate test results and provider instructions under appropriate authorization and guidelines Greet clients professionally via in-person and telephone interactions, routing calls appropriately. Enter data, prepare spreadsheets, and run reports as assigned. Obtain and process record requests. Maintain client and/or program files, process incoming paperwork, and purge records per LDCPH policy. Support clinic workflow efficiency through process improvement ideas, logistical coordination, and collaborative planning




Clinical Support:


Assist with client intake processes, including collecting basic medical history and ensuring necessary consent forms are completed. Handle patient inquiries and facilitate effective communication between patients and healthcare providers. Assist provider(s) during exams by performing measurements and venipuncture, as directed. Record vital signs and record results ensuring accuracy. Efficiently documents medical information using the appropriate electronic applications and forms Record vital signs and accurately document medical information using electronic systems. Explain treatment procedures and prepare patients for examinations while maintaining privacy. Provide lab results to clients as directed by a provider. Collect and prepare laboratory specimens; dispose of contaminated supplies and sterilize medical instruments. Clean and maintain clinic equipment/supplies; ensure clinic rooms are safe and well-maintained. Adhere to infection control policies and ensure compliance with HIPAA regulations. Promote immunization of children, adolescents, and adults to ensure public health Promote breastfeeding to pregnant and breastfeeding clients to promote public awareness as appropriate Work among vulnerable populations (e.g. people experiencing homelessness, LGBTQ, HIV+) Manage inventory, including monthly supplies and medications. Maintain equipment by following operating instructions, troubleshooting, and arranging repairs as needed. Contribute to innovations in clinic service delivery with a focus on flexibility, responsiveness, and client-centered care Cross-train into other clinic programs and maintain flexibility to support a range of administrative, clinical, and outreach functions as LDCPH priorities evolve Demonstrate adaptability in response to changing public health needs and contribute to continuous improvements in service delivery




Community Health Outreach:


Identify and connect patients with community resources to address social determinants of health. Advocate for patient needs within the healthcare system and the broader community. Organize and participate in community health events and initiatives.

Collaborate with community organizations to enhance resource networks. Develop and maintain relationships with local healthcare partners. Spanish language skills, preferred Excellent customer service skills Effective communicator (verbal, written and body language) + Listening skills and ability to interpret a variety of communications + Business reports, correspondence and procedure manuals
