Job Description


The Clinic Manager provides leadership to all clinic operations and ensures adherence to best practice standards and requirements for licensed/accredited outpatient mental health clinics in the State of Wisconsin, including Medicaid and Medicare. Oversees and monitors the clinic billing process, clerical and support staff, and provides administrative support and supervision. This position serves as a liaison between the clinic and all other departments, community, partner agencies, donors, and other stakeholders. The Clinic Manager reports to the Vice President of Programs and Services.

Responsibilities and Duties:

  • Oversees and ensures efficient clinical operations to assure a high level of productivity;
  • Responsible for supervision and oversight of department staff and functions;
  • Ensure that clinical staff adheres to, and is compliant with, State of Wisconsin standards for outpatient mental health clinics as defined by DHS 35 and via monthly random chart audits;
  • Monitor client intake/therapist assignments and ensure appropriate caseload/practice balance;
  • Understands client objectives and incorporates them into program service goals in collaboration with clinicians and other clinic staff;
  • Monitor activities such as productivity, billing, documentation, licensure and credential maintenance, quality assurance, client satisfaction, etc.;
  • Ensures that program services is in compliance with contracted services (Procentive database management, reporting, ticketing, and quality assurance);
  • Identifies opportunities for program improvements in scope of service/delivery of service, evaluates data and provides actionable insights that drive results and support client objectives;
  • Monitors and provides weekly updates on financial impact items, prepares summaries for accounting, client invoicing, payroll and contract/grant management.
  • Prepare licensure documentation annually and lead preparation for State review every two (2) years;
  • Responsible for the recruitment, selection, hiring, orientation and training of clinic staff;
  • Responsible for annual performance evaluations of department staff, program development and overseeing ongoing staff education and training;
  • Conduct regular department staff meetings;
  • Collaborates in external partnership engagement, QA/QI projects, and program development with the V.P. of Programs and Services
General
  • Must have a valid driver\'s license, access to reliable vehicle, and automobile insurance coverage throughout employment and successfully pass a MVR and insurability check.
  • Knowledge, understanding, and/or willingness to learn Jewish culture and traditions and those of the Agency population as necessary.
  • Accept other duties and responsibilities as assigned.
  • Candidates must successfully pass a criminal background check with the Wisconsin Department of Justice and a caregiver background check with the Wisconsin Department of Health Services, the Department of Children and Families and the Department Safety and Professional Services.
  • Candidates must pass a Dru Sjodin National Sex Offender and Wisconsin Sex Offender Registry screening.
  • Master\'s Degree in Social Work preferred, Licensed Clinical Social Worker (LCSW) credential issued by the State of Wisconsin and a minimum of 3 years\' experience working in and managing a mental health clinic, other clinical service, and/or in administration of a social services agency, required;
  • Tech Savvy with an ability to oversee and understand complex platforms, databases, technical codex, etc.;
  • Demonstrate ability for critical thinking, problem solving and strategic management;
  • Strong organizational, communication, and interpersonal skills;
  • Able to maintain and drive standards of excellence through positive interaction and strong leadership;
  • Possess a collaborative and inclusive leadership style with an ability to motivate and drive diverse individuals;
  • Ability to work effectively with clients, agency staff, volunteers, donors, board members, etc.;
