Title: Client Transportation Coordinator - Nonprofit
Department: Brokerage Transportation
Location: Primary work location at UW Medical Center, but based on business need it may be required to work at Harborview Medical Center or Seattle Children\xe2\x80\x99s Hospital
Work Schedule: Full Time, Mon \xe2\x80\x93 Fri; Shifts 8:00 AM \xe2\x80\x93 5:00 PM; 9:30 AM \xe2\x80\x93 6:00 PM
Compensation: $21.00/hour

Since 1971, Hopelink has served homeless and low-income families, children, seniors, and people with disabilities in the north and east King County, WA. With service centers in Redmond, Bellevue, Kirkland, Shoreline and Sno-Valley (Carnation), we are the largest nonprofit organization in the area. Hopelink programs and services focus on five key areas: food, financial assistance, housing & family development, adult education & employment, and transportation/mobility. Programs are aimed at helping people achieve stability and helping them gain the skills and knowledge they need to exit poverty for good.
Summary:
The Client Transportation Coordinator partners in-person with medical facility staff and Medicaid clients to arrange for transportation to/from medical facilities for much needed medical care. This position is a rotational role primarily stationed at the UW Medical Center. Coordinators determine what transportation services clients qualify for and work with our transportation partners to meet their needs. This position reports directly to the NEMT Scheduling Supervisor. Coordinators are provided with a bus pass to travel between work locations. Essential Functions:

  • Helps determine client eligibility for Medicaid-funded, transportation services. Applies contractual, agency, and program eligibility requirements. Accurately documents billing requirements for these services.
  • Maintains a positive working relationship with hospital or other facility staff. Works independently to provide superior customer service in-person or via telephone, fax, or electronic communication.
  • Communicates respectfully with clients, facility staff and people of all cultures, languages, ages, genders, gender preferences, races, physical abilities, ethnic backgrounds, and religions.
  • Creates member profiles in client database, accurately reflecting client\'s eligibility, and service needs.
  • Assists clients through the various stages of eligibility screening process, identifying documents or resources needed to confirm eligibility and ensure appropriate service.
  • Educates medical facility staff and clients regarding eligibility for services; maintains knowledge of all rules, regulations, laws, and contractual requirements related to various contracts.
  • Advises clients of ineligibility for services, accurately documenting decisions and appropriately informing clients of decisions and of their rights.
  • Processes and schedules ride requests using scheduling software. Performs ride assignments based on using the least cost, most appropriate, available vehicle.
  • Maintains phone and electronic contact with subcontracted service providers and records trip information using automated dispatch system. Responds to same day requests and/or service issues that develop on a more urgent basis.
  • Coordinates pick-ups and drop-offs for timely, safe, and efficient transportation.
  • Coordinates training and problem-solving efforts with the Bellevue Service Delivery team.
  • Assists in complaint resolution and in identifying training needs for Hopelink and subcontracted service provider staff.
  • Regular attendance and punctuality are essential to our business and to this position.

Established COVID-19 Precautions:
  • Prescreening is provided to clients prior to entering facility to prevent agents encountering potential COVID 19+ clients.
  • Plexiglass is provided for additional PPE.
  • Vaccinations are available for individuals that have yet to receive one.
  • Face masks are still required in hospitals for patients.
  • PPE is available for employees to use while at work.
Required Qualifications:
  • Strong oral and written communication skills
  • Excellent customer service skills
  • Proficiency in Word, Excel, Microsoft Teams.
  • Ability to learn new software with training
  • Ability to adapt in a changing environment
  • Problem solves by building creative solutions and finding potential in every situation
  • Be able to work independently and with a team.
  • Must be flexible with shift schedules, and work locations.
  • This position is a Service Critical position with strict attendance requirements
  • Employee must manage own transportation needs in adverse weather, including possible limitations to public transportation options
Preferred Qualifications:
  • Two years of college in social service or related field; or equivalent combination of education, training, and work experience in a related field, and/or military service.
  • Experience working in a social service or medical environment with low income, elderly, disabled, and people of diverse backgrounds preferred
  • Previous experience in call center or customer service setting is helpful
  • Fluency in Spanish, Russian, Vietnamese, Arabic or Somali a plus
  • Understanding of Medicaid, Medicare, and other entitlement programs
  • Geographical knowledge of maps, routes and or knowledge of transportation resource

Licenses, Certificates, and other requirements:
  • Must pass criminal background check.
  • Must be reliable and able to adhere to attendance expectations.
  • Must pass medical facility interview process.
