TheClientServicesAssociateroleinvolvesofferingadministrativeandclericalassistancetothe Early Childhood Innovation Center (ECIC). Responsibilities include various tasks such as managing office reception, providing basic administrative support to the ECIC team, and ensuring the tidiness of the ECIC office. Primary responsibilities involve handling incoming phone calls and emails directed to the ECIC mailboxes, aiding in electronic and paper file management, and delivering exceptional customer service to internal and external stakeholders.
Essential Functions & Required Knowledge, Skills and Abilities
The following are the functions essential to performing this job:
1.Greet and welcome visitors in a professional and friendly manner.
2.Receive and route incoming calls to the designated/appropriate individual.
3.Handle and distribute all incoming and outgoing mail and packages.
4.Give information to the public/stakeholders about the ECIC, its services, and relevant contact details to all callers and visitors.
5.Respond to all email inquiries, forwarding to the appropriate person when necessary and/or providing up to date accurate information on programs and services.
6.Manage and schedule reservations for ECIC meeting spaces and conference rooms.
7.Maintain the tracking and delivery of office supplies, equipment, and facilities.
8.Ensure that the office environment is clean, organized, and conducive to productivity.
9.Assist with administrative tasks such as filing, data entry, document creation, photocopying, capturing meeting minutes and other duties as assigned.
10.Enforce security protocols such as verifying visitor identities and ensuring guest sign-in and out.
11.Maintain professionalism and represent the ECIC in a professional and courteous manner, ensuring positive interactions with scholars and visitors.
12.Develop effective working relations inside and outside the immediate work area.
13.Support all scheduled ECIC events, such as professional developments, ceremonies, scholar support activities, and other assigned projects as designed by direct supervisor.
14.Perform other duties as assigned.

12.Familiarity with common office equipment such as multi-line phone systems, printers, copiers, and fax machines.
13.Awareness and sensitivity to cultural differences and the ability to interact respectfully with individuals from diverse backgrounds.
Qualification Standards

Education:Highschooldiplomaorequivalentisrequired.Associatedegree preferred, or equivalent training in office administrative or related field.
One year of administrative field experience preferred.
