SUMMARY OF JOB PURPOSE

The Justice Court Clerk is responsible for performing all duties and tasks related to the efficient operation of the court office. The clerk is an assistant to the judge and is responsible for ensuring that all information regarding court cases is current and up to date for the judge\'s review. Court clerks ensure that directives and policies regarding the operations of the court are implemented and followed. Court clerks handle financial transactions related to court cases and the court in general, including monthly, quarterly, and annual reports. Court clerks also assist in any manner necessary when audits are taking place. The court clerk may be required to perform limited duties of the Bailiff with regard to sanitizing the courtroom and handling paperwork when necessary.

ESSENTIAL FUNCTIONS

Duties may include, but are not limited to the following:

  • Updating court records and proceedings regarding court cases, financial transactions, and other court-related activities in the case management system in a timely manner
  • Receiving, filing, and processing court-related documents and papers pertaining to court-related issues: criminal, civil, financial, etc. Initiating and opening cases directly related to any filings received.
  • Monitor delinquent accounts and collections. Prepare and send delinquent letters and notices to individuals.
  • Monitor all citations for failures to appear and process notifications for DMV. Correspond with defendants regarding payments and delinquencies
  • Monitor bench warrants and any payments received by Elko County Collections for such. Prepare bench warrants, when appropriate.
  • Daily reconciliation of financial accounts. Weekly bank deposits. Monthly checking account reconciliations. Monthly reports to Elko County and the State of Nevada, appropriately disbursing funds received by the court.
  • Monitor community service workers and prepare related reports for the government entities.
  • Work closely with other county and state departments: i.e. District Attorney\'s Office, Public Defender\'s Office, attorneys, Sheriff\'s Office, Jail, Elko County Collections, etc.
  • Customer service for the public through telephone calls, emails, and in-person contact.
  • Comply with Elko County Policies, Code of Ethics for Judicial Employees, and policies and requirements of the Carlin Justice Court.
  • Accurately complete work assignments in a timely manner. Communicate with fellow employees and the judge regarding the status of assignments and progress.
  • Communicate tactfully, both orally and in writing, with co-workers, the general public, and other departments.
  • Listen carefully and respond appropriately.
  • Works in the courtroom during hearings and proceedings, performing clerical tasks, preparing sentencing memorandums, handling financial transactions, ensuring compliance with courtroom policies, and providing attorneys and their clients with paperwork or other things as needed. The clerk is also responsible for telephonic and video connections with witnesses and defendants.
Education and Experience
  • High school diploma or equivalent
  • Any combination of experience and education that would likely produce the required knowledge, skills, and abilities

Knowledge
  • Related outside agencies, their roles, and responsibilities as they relate to the operation of the Justice Court are helpful but not necessary.
  • Basic Office Operations and Skills: filing, bookkeeping, computer data entry, telephone etiquette, knowledge of Microsoft programs Word and Excel
  • Basic Office Equipment: computer, scanner, typewriter, fax machine, copier, telephone, adding machine

  • Providing strong customer service and excellent collaborative teamwork.
Abilities
  • Type with speed and accuracy. Efficient computer keyboard operation.
  • Verbally communicate with other employees, the judge, the public, and people in general, in clear, concise, and understandable terms.
  • Handle cash and other financial transactions; balance and account for financial transactions daily.
  • Compose clear, concise, and grammatically correct letters, memos, emails, and other communications from the court.
  • Data entry using the computer programs pertaining to court operations. These may include word processing, spreadsheets, or specialized programs.
  • Provide professional customer service whether in person, via telephone, through email, or whatever the situation. Maintain composure when dealing with difficult or controversial individuals.
  • Comply with Elko County Policies and department procedures.
  • Maintain appropriate confidentiality.
  • Complete work in an accurate, efficient, and effective manner.
  • Establish and maintain working relationships with court officials, judges, co-workers, and the public.
  • Type with speed and accuracy.
  • Communicate with the supervisor, coworkers, and the public, in a clear, concise, informative, and polite manner.
  • Ability to effectively interpret reports, financial data, and maps
  • Ability to interact professionally, communicate effectively, and exchange information accurately with all internal/external customers;
  • Read and understand a variety of legal documents, and the procedure-related thereto.
  • Listen carefully, understand, and transcribe, concise notes, using appropriate grammar and punctuation.
  • Work under pressure and maintain composure in stressful situations. Multitasking is essential.
  • Operate specialized computer programs and related equipment.
  • Maintain a professional attitude and appearance when performing office and courtroom duties.
  • Take responsibility for individual work products.
Physical Demands and Working Environment

An employee in this position must meet the following physical requirements upon application:
  • Work is performed in an office setting.
  • Hand-eye coordination is necessary to operate computers and various pieces of office equipment.
  • While performing the duties of this job, the employee is frequently required to speak with other employees and the public; answer the telephone; communicate with other departments and individuals; hear and listen to other employees, the public, people on the telephone, other individuals;
  • Ability to sit at a desk in the office or at a work station in the courtroom; use hands to finger, handle, feel or operate objects or controls of equipment, and to handle cash and other paper items; and reach with hands and arms.
  • The employee is regularly required to stand, bend over, reach over the head or walk when assisting the public, retrieve files and documents, retrieve copies and scanned documents, file, and distribute the mail.
  • Employees must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
  • The noise level in the work environment is usually quiet.
