Departmental Overview

The Berkeley Water Center takes a comprehensive approach to water resources research and management that reflects the conditions of the 21st Century: variable and uncertain supply, increasing demand, and inadequate structural and institutional infrastructure. We seek to develop and demonstrate the application of new concepts, information and engineering technology, and computational tools that serve diverse water interests.

The BWC is comprised of researchers from several UC Berkeley Colleges and Departments, including more than 70 faculty members with water-related expertise. Our interdisciplinary approach makes the Center the single integrated resource for water-related research on campus. IESE/BWC is a center hosting multiple research projects and is home to 40 graduate students from engineering and non-engineering departments. This position may require participation in occasional evening and weekend events.

The BWC Administrative Staff will provide executive-level support for IESE/Berkeley Water Center. The incumbent will communicate collegially and effectively with faculty, administrative staff, building manager, PPCS, and students, thus serving as the Office Manager for IESE/BWC.

The incumbent will exercise day-to-day management techniques to ensure compliance and deadlines are met. The qualified candidate\'s skill set will include management of IESE/BWC events, documents and reports, facilities and office infrastructure and operation, along with the production of printed and electronic media.

Responsibilities

60% Administrative duties:
Provide high-level project and administrative support for IESE/BWC leadership. Gathers and analyzes financial and other resource data which may be complex; prepares reports or analyses of operational activities, evaluation of current and proposed services for review and decision-making. Communicates collegially and effectively with all level of faculty, administrative staff, building manager, PPCS and students, thus serving as the Office Manager for IESE/BWC. Maintain office equipment as necessary, order office supplies. Research and make recommendations for equipment purchases, as needs arise. Greet visitors at reception desk, Provides onsite assistance and information to visiting researchers, including international scholars. Requires familiarity with appropriate visasissued to visitors. Must be able to manage this task even in the absence of faculty. In collaboration with dedicated Research Support Officer, maintain vendor files and other key operational files for the Institute. Facilitates scheduling, airline ticket purchasing, and hotel accommodations to and from related travel, ensuring that all travel is efficiently executed and planned to be in compliance with applicable UC G-28 travel policies. Prepares and oversees travel expense reimbursement, ensuring that travel reimbursement requests are submitted in compliance with UC policy and in conformance with standard procedures. Provides assistance to faculty members for meetings and conferences including making reservations, sending invitations, maintaining attendee lists, compiling Curriculum Vitae, photocopying, printing and distributing communications or meeting materials; arranging catering, making travel and parking reservations, and processing invoices and reimbursements. Tracks and coordinates the Faculty schedules. Confirms meeting attendees and prepares relevant materials, including agenda and background materials. Coordinates as needed with staff to facilitate teleconferences, group meetings, and events involving visitors. Maintain schedules for IESE/BWC conference rooms. Communicate significant campus events to residents (example: construction in the area). In collaboration with IESE/BWC leadership, assign desks to students and visitors.

20% Event and Meeting Planning:
Plan and execute the Berkeley Catchment Science Symposium in December of each year to identify the speaker list and confirm venue. Independently, the AO2 sets up on-line registration and payment system, develops a website presence for the symposium, coordinates catering and any additional services (such as recycling,UCPD security). On the day of the event, the AO2 serves as the lead point person for all logistical and financial matters, including interactions with all vendors.
Coordinate with Stanford staff regarding hosting ReNUWIT ERC meetings at Berkeley Independently develops and implements protocols for regular meetings and conference calls.

20% New Business Development:
Manages activities related to the development of future proposals or collaborative opportunities. Prepares and provides input into non-technical portions of grant and contract proposals. Manages reporting deadlines and provides assistance in retrieving and organizing pertinent information. Attends Faculty meetings for the purpose of taking, creating and distributing notes or minutes. Designs and drafts organizational content for website and social media; participates in design, enhancement and drafting of research related websites.

Required Qualifications
A working knowledge of basic office procedures. Working knowledge of Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint. Ability to use discretion and maintain confidentiality. Flexibility and willingness to work in a dynamic, collaborative environment where team members often work outside defined roles. Ability to use sound judgment in responding to issues and concerns and in solving problems. Well-developed organizational, coordination, and problem solving skills, as well as the ability to work under pressure and meet deadlines. Strong attention to detail and thoroughness in work product. Excellent oral and written communication skills; ability to interact effectively with faculty, staff, students and industrial partners while demonstrating tact and diplomacy. Bachelor\'s degree in related area and / or equivalent experience / training.
Preferred Qualifications
Experience in facilities and/or office management. Knowledge of University policies and procedures regarding: travel and entertainment, purchasing, financial services, and facilities management.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted salary or hourly range that the University reasonably expects to pay for this position is $39.49 - $52.85.
