The Business Systems & Administration Manager is responsible for overseeing all internal business systems, financial processes, and compliance functions within a growing building supply and rebar fabrication company. This role ensures accurate accounting, efficient inventory management, and compliance with company policies, DOT regulations, insurance requirements, and banking procedures. The ideal candidate is highly organized, detail-oriented, and experienced with QuickBooks, point-of-sale (POS) and inventory systems, and construction supply operations.

Process
payroll
accurately, including employee onboarding, deductions, and benefits coordination.
Maintain and reconcile
QuickBooks
records--journal entries, balance sheets, and monthly financial reporting.
Coordinate with external accountants and banks to prepare financial statements and year-end reports.
Monitor cash flow, credit accounts, and vendor terms.
Systems Administration
Operate and maintain
POS and inventory management systems
, ensuring data accuracy and smooth daily transactions.
Implement process improvements that tie sales, purchasing, and accounting together.
Train and support staff on system use, troubleshooting, and compliance with workflow standards.
Oversee stock-level controls, vendor SKU accuracy, and pricing updates within the system.
Compliance & Risk Management
Manage
DOT compliance
for all company vehicles and drivers--maintaining driver qualification files, logbooks, drug testing records, and inspection schedules.
Oversee
insurance policies
(general liability, vehicle, workers' comp, health) and coordinate renewals and claims.
Maintain proper business and tax licenses; ensure all filings and renewals are completed on time.
Enforce safety and recordkeeping standards in collaboration with the safety coordinator.
Banking & Administration
Handle
bank deposits
, account reconciliations, and wire/ACH payments.
Maintain positive relationships with banking and financial partners.
Support the Owner/COO with administrative and financial documentation for capital projects, loans, or expansions.
Assist in budgeting, forecasting, and internal audits.
Qualifications
Education:
Associate or Bachelor's degree in Accounting, Business Administration, or related field (preferred).
Experience:
3-5 years in accounting or administrative management, preferably in construction supply, distribution, or manufacturing.
Technical Skills:
Strong proficiency in
QuickBooks
(Desktop or Online).
Experience with
POS/inventory management systems
(e.g., Epicor, Lightspeed, or custom ERP).
Proficient in Microsoft Excel, Word, and Outlook.
Knowledge of:
Basic accounting principles (GAAP).
DOT compliance, FMCSA requirements, and insurance administration.
Building supply or rebar fabrication industry (a plus).
