The Energy Security and Resilience Center (ESRC) and the Joint Institute for Strategic Energy Analysis (JISEA) in the Energy Systems Integration (ESI) Directorate of the National Renewable Energy Laboratory (NREL) are seeking a Business Support Professional (BSP). As a member of a multi-center support team, the person in this role will split their time between supporting ESRC\xe2\x80\x99s Strategic Energy Security (SES) group and Senior Advisors, as well as the Research Innovations group in the JISEA Center. The career opportunity involves both routine business support assignments and non-routine or special assignments.

Tasks include managing documentation flow, assisting or executing staff travel arrangements, managing purchases, assisting with the publication process, supporting meetings, workshops, visitor tours and large-scale events (including scheduling, room set-up, site access, security arrangements, webinars, catering, audio visual set-up, meeting materials, etc.). The BSP will also support the development of spreadsheets and other financial documents, and should be comfortable using multiple online electronic systems for finance, purchasing, travel, etc.

The position requires a willingness to work as a team with other business support professionals within multiple centers, as well as assist lab-wide when needed. The position requires attention to detail, diplomacy, and the ability to juggle multiple projects at once. The selected applicant will display a positive, team-oriented attitude, outstanding administration skills, ability to prioritize work, and excellent written and verbal communication skills. The ideal candidate will have exceptional team and interpersonal skills.

Successful BSP team members demonstrate a passion for contributing to the overall success of their centers, their projects, and NREL as a whole. The incumbent shall develop and maintain administrative, financial and record systems, and execute business support functions with some oversight, but at times will be required to execute tasks on their own with minimal supervision. The position will require working routinely with management from ESRC and JISEA.

Business Support Professionals within the ESI Directorate may not be fully remote but are afforded the opportunity to work from home an average of two days per week upon agreement between the employee and their line manager(s) as duties, schedules, and job performance allow.

Specific Duties Include:

  • Provide primary administrative support to Group Manager(s) and their staff
  • Execute administrative functions with minimal oversight, providing timely, accurate, and effective administrative support for the programmatic, business, and operational functions of the group(s).
  • Resolve a range of requests with varying degrees of urgency and act as a resource for staff on institutional processes, procedures, and requirements.
  • Work closely with other ESRC and JISEA Business Support Professionals to provide and receive feedback for better team support, share knowledge about navigating NREL\xe2\x80\x99s policies and business systems, provide input and recommendations on organization-specific administrative practices, maintain shared documents and templates, and work cooperatively on applicable tasks, activities, and events.
  • Proactively coordinate and/or monitor multiple tasks and information for individuals, groups, and oneself. Typical tasks include managing calendars/scheduling, travel requirements, meeting and workshop logistics, catering arrangements, onboarding new staff, email distribution lists and access to shared file locations, hiring/contracting requirements, purchases, expense reimbursement, visitors/vendors, office supply inventory, hard copy and electronic files and records, mail/mailboxes, training requirements, safety inspection processes, correspondence, and information flow.
This May Include:
  • Engaging in new worker onboarding process by entering new hiring Requisitions into Workday (HR Human Capital Management system), coordinating initial interview processes with external candidates and the interview panel, and processing e-paperwork for new workers.
  • Keeping Workday up to date by initiating existing worker extensions and terminations as directed by Group Manager(s).

Basic Qualifications BSP II- High School Diploma or equivalent and 1 or more years of experience or equivalent relevant education/experience. Or, relevant Associate\'s Degree or certification program of comparable scope or equivalent relevant education/experience. Solid knowledge of the job. Substantial understanding of general aspects of the job with a broad understanding of the detailed aspects of the job. Intermediate skills in applicable software packages and office equipment. Basic project administration skills. Ability to prioritize work. Proficient in written and verbal communications. Very good team and interpersonal skills.

BSP III- High School Diploma or equivalent and 4 or more years of experience or equivalent relevant education/experience. Or, relevant Associate\'s Degree or certification program of comparable scope and 2 or more years of experience or equivalent relevant education/experience. Considerable knowledge of specialized focused business support functions. Complete understanding of the general and detailed aspects of the business support activities, and their practical applications to problems and situations ordinarily encountered. Experienced skills in applicable software packages and office equipment. Demonstrated project administration skills. Full knowledge of specific principles, procedures and practices related to supported fields and disciplines. Strong written and verbal communication skills, team and interpersonal skills.
  • Must meet educational requirements prior to employment start date.
Additional Required Qualifications

Intermediate to advanced knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, Teams, OneNote, SharePoint and Outlook is required.

Other frequently used electronic software programs include Adobe, Microsoft Forms, Oracle for accounting and purchasing, Workday for personnel functions, and Concur for travel and finance. Ideal candidates must be proficient with these programs or show a willingness to learn.

Preferred Qualifications

Bachelor\xe2\x80\x99s degree

Two or more years of relevant experience: executing business support functions, experience working as a part of a team, experience supporting technical and/or research staff, or experience in a mission-driven organization.

Familiarity with technology that supports presentations, online meetings and video/web conferencing, and shared file storage and application integration in Microsoft Teams.

Experience using business systems such as Workday, Concur, or Oracle solutions, and developing and/or using solutions and workflows built with SharePoint.

Annual Salary Range (based on full-time 40 hours per week) Job Profile: Business Support III / Annual Salary Range: $47,800 - $76,500

Job Profile: Business Support II / Annual Salary Range: $41,600 - $66,600
