Job Description

Position Overview



We are seeking a reliable, highly organized, and detail-oriented Bookkeeper to manage the accounting and financial operations across multiple legal entities. This role reports to senior management and will be responsible for maintaining accurate and up-to-date books, handling all accounts payable (AP) and accounts receivable (AR), managing sales-tax and other tax compliance filings, and supporting general ledger and periodic financial reporting.

The ideal candidate will be comfortable working independently and collaboratively, adept at using accounting systems (especially QuickBooks Online), and capable of juggling multiple entities, deadlines, and priorities with precision and consistency.

Key Responsibilities



Accounts Payable (AP):

process vendor bills and invoices; schedule, prepare and execute vendor payments; maintain vendor records; ensure timely payments and accurate documentation.

Accounts Receivable (AR):

generate and send customer invoices; record incoming payments; follow up on outstanding receivables; maintain accurate AR ledgers.

General Ledger & Bookkeeping:

post journal entries, reconcile bank and credit-card accounts, maintain chart of accounts, ensure accurate and complete books for each entity.

Multi-Entity Oversight:

keep separate books per entity, ensure clarity of inter-company transactions (if any), avoid commingling of funds, and maintain clean ledger structure.

Sales Tax & Other Tax Filings:

prepare and file periodic sales-tax returns (state/local), track tax liabilities, ensure deadlines are met and compliance with state/local regulations. Also assist with other required tax filings or compliance tasks (as needed).

Month-End & Year-End Close:

perform reconciliations, prepare summary reports, assist in financial close processes; coordinate with external accountants or tax preparers as needed.

Financial Reporting & Support:

prepare financial statements, cash-flow summaries, aging reports (A/R, A/P), and other management reports; provide insights or flag potential issues (e.g., liquidity, overdue payables/receivables).

Internal Controls & Record Keeping:

ensure proper documentation, maintain records (invoices, receipts, payables/receivables logs), implement and enforce accounting procedures and controls.

Communication & Collaboration:

work closely with senior management, vendors, customers, and possibly external accountants; respond to inquiries; ensure clarity and transparency across entities.

Required Qualifications & Skills



Proven bookkeeping experience (preferably 3+ years) managing AP, AR, reconciliations, and general ledger. Strong proficiency with QuickBooks Online (or QuickBooks desktop, with willingness to transition to Online). Solid understanding of basic accounting principles (double-entry bookkeeping, accrual vs. cash basis, reconciliations, chart of accounts, tax compliance). Exceptional attention to detail, organization skills, and ability to manage multiple priorities and deadlines. Strong familiarity with sales tax processes and compliance (or ability to learn quickly). Competent with Excel / spreadsheets -- for reporting, reconciliations, aging reports, etc. Good verbal and written communication skills; ability to interact with vendors, clients/customers, management, and potentially external accountants. Ability to work independently, but also collaborate when necessary; comfortable in a semi-hybrid environment (remote/in-office).

Preferred / Nice-to-Have:



Experience managing books for multiple entities (e.g., LLCs, corporations, trusts). Prior experience with state and local tax filings (sales tax, use tax, other regulatory filings). Familiarity with payroll, benefits, or HR-related accounting (not required but a plus). Bachelor's degree in accounting, finance, or related field -- or equivalent combination of education and experience.

Employment Structure & Work Environment



Full-time employee (non-contractor). Semi-hybrid: some days remote, some days in-office (for tasks requiring physical paperwork, coordination, or meetings). Regular work schedule (standard business hours), with potential for flexibility depending on workload, tax-filing deadlines, or month-end close. Will report to senior management/owner and collaborate with external accountants or tax advisors for quarterly/yearly filings.
Pay: $60,000.00 - $80,000.00 per year
