About the Role
The Billing Coordinator plays a key role in maintaining accurate financial records and ensuring smooth cash flow for our rapidly expanding operations. This position works closely with our service, installation, and accounting teams to process invoices, reconcile payments, and ensure all customer and vendor transactions are completed efficiently. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced environment with multiple systems such as ServiceTitan and QuickBooks. You will be responsible for reviewing all ongoing projects, batching invoices, billing accounts wiht payment terms, and importnantly, processing all On Bill Repayment invoices with PSEG, JCPL, ETG, & NJNG.
Responsibilities
Prepare and issue invoices for residential and commercial jobs
Review job costing and verify billing accuracy in ServiceTitan
Reconcile daily payments, deposits, and adjustments
Coordinate with technicians and project managers to confirm completed work before billing
Follow up on outstanding balances and assist with AR management
Maintain accurate customer billing records and documentation
Process warranty or rebate claims as needed
Support monthly financial closing and reporting tasks
Qualifications
2+ years of experience in billing, accounting, or administrative roles (HVAC or construction preferred)
Strong attention to detail and organizational skills
Proficiency with ServiceTitan, QuickBooks, or similar accounting/CRM platforms
Ability to multitask and meet deadlines in a dynamic environment
Excellent communication skills and customer service mindset
Basic understanding of invoicing, AR, and job costing principles
EXPERIENCE WITH OBR UTILITY BILLING IS A BIG PLUS
