Job Summary
We are seeking a dynamic and bilingual (English/Spanish) Legal Receptionist to join our legal team. This energetic professional will serve as the first point of contact for clients, visitors, and staff, providing exceptional customer service while managing a busy front desk environment. The ideal candidate will be highly organized, tech-savvy, and possess excellent communication skills to facilitate smooth office operations. Your role will be pivotal in creating a welcoming atmosphere and ensuring efficient administrative support for our legal professionals.
Responsibilities
Client Interaction (Bilingual Required)
Greet clients, visitors, and staff warmly, ensuring a positive first impression in both English and Spanish.
Manage multi-line phone systems with professionalism, directing calls accurately and courteously.
Maintain an organized front desk area, including filing, data entry, and document proofreading to support legal case management.
Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools.
Handle clerical tasks such as filing legal documents and maintaining accurate records.
Provide exceptional customer support by addressing inquiries promptly and courteously in both languages.
Assist with office management duties including supply inventory, mail distribution, and basic bookkeeping tasks.
Front Office & Administrative Support
Maintain a professional, organized, and welcoming reception area.
Manage incoming and outgoing mail, faxes, deliveries, and firm correspondence.
Schedule client appointments, consultations, meetings, and court dates as directed.
Maintain physical and electronic filing systems securely and in compliance with firm protocols.
Process client payments and update basic financial logs as assigned.
Monitor office-supply inventory and place orders with approval.
Prepare letters, memos, and other documents under attorney direction.
Support overall office operations through additional administrative duties as assigned.
Confidentiality & Compliance
Handle all client information in accordance with attorney-client privilege and firm privacy policies.
Follow strict data-security procedures for immigration records and sensitive personal information.
Comply with all internal protocols governing document retention, secure storage, and communication.
Physical Requirements
Ability to remain in a stationary position for extended periods.
Ability to operate standard office equipment.
Ability to lift up to 15 lbs. occasionally.
Experience
Prior office experience in a legal or medical setting is preferred but not required; strong clerical experience is essential.
Proven ability to operate multi-line phone systems and demonstrate excellent phone etiquette.
Bilingual fluency in English and Spanish is required; proficiency in both languages is critical for effective communication.
Familiarity with office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar).
Experience with data entry, proofreading documents, filing systems, and basic bookkeeping using QuickBooks is highly desirable.
Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail.
Ability to learn and operate legal case-management software.
Ability to maintain strict confidentiality and exercise sound judgment.
Reliable, punctual, and professional in appearance and demeanor.
High school diploma or equivalent.
Strong interpersonal communication skills and a patient, empathetic approach to client interaction.
