Job Summary:
The Backhaul amp; Dispatch Coordinator is responsible for coordinating daily transportation operations, including dispatching drivers, managing backhaul opportunities, monitoring hours of service, and ensuring on-time, safe, and cost-effective delivery of freight. This role serves as a primary point of contact for drivers, customers, vendors, and internal partners while maintaining accurate records and supporting compliance, safety, and customer service standards.
Job Responsibilities:
Utilize routing and dispatch systems to efficiently plan and execute inbound, outbound, and backhaul movements
Dispatch trucks and prepare daily driver and equipment schedules
Act as a primary point of contact for drivers, responding to inquiries related to breakdowns, directions, scheduling changes, and delivery discrepancies
Monitor drivers' Hours of Service (HOS) to prevent DOT violations and support regulatory compliance
Adjust delivery and backhaul assignments to accommodate late trucks, breakdowns, substitute drivers, or other operational changes
Generate revenue through effective backhaul planning and execution
Monitor load status, temperature (when applicable), and on-time performance, providing timely updates to customers and vendors
Build, update, and maintain inbound and outbound orders in the transportation management system (TMS)
Maintain accurate driver, load, equipment, contact, and service records within dispatch systems
Contact customers, carriers, and vendors regarding appointments, scheduling changes, and service updates
Interface with third-party transportation providers to procure services and monitor load progress
Promote driver safety and report incidents, accidents, and breakdowns promptly to leadership
Assist with accident documentation and workers' compensation reporting as needed
Review, track, and resolve department expenses, invoices, and financial discrepancies
Maintain dispatch, backhaul, payroll, financial, and compliance files in accordance with retention requirements
Provide professional, courteous, and effective communication with drivers, customers, vendors, and internal partners
Perform all duties safely and complete additional responsibilities as assigned
Experience and Qualifications:
Education - High school diploma or GED. College coursework, continuing technical education or comparable business experience preferred
Basic knowledge and understanding of Department of Transportation (DOT) Hours of Service
Knowledge of Transportation Management Systems preferred
Ability to read conventional and electronic mapping
Ability to read with corrected or uncorrected vision
Ability to speak, read, write and understand English
Ability to remain calm and focused while prioritizing requests from multiple sources
Ability to assist in creation and maintaining the guidelines of a fiscal budget
Ability to maintain and ensure confidentiality of team member and company information
Accuracy and attention to detail
Proficient in computer usage to include email, word processing, spreadsheets
Knowledge of computer software and applications
Ability to accommodate flexible schedules to meet the needs of the customer to include overtime, nights, weekends and holidays as required
Ability to utilize equipment for the job such as computers, cell phone, phone, handheld trackers, copiers, scanners, printers, tractor mobilecomm devices
Ability to Travel (less than 10%)
Environmental Job Conditions:
Must be able to lift up to 25 lbs occasionally
Must be able to sit on an almost continual basis and stand, walk, bend, or squat on an occasional basis in a normal office environment
