GENERAL DESCRIPTION:

This position works directly with the Nursing Department and Social Services to provide administrative support related to resident admissions, scheduling provider appointments for residents, and staffing coordination.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Working with the nursing department to facilitate resident appointments to include scheduling, completion of paperwork, transportation arrangements notification to the family regarding upcoming appointments
  • Assists staffing coordinator with the monthly schedules and daily schedules
  • Assisting with tracking time and attendance
  • Assists with on-call duties for staffing issues
  • Works with Social Services Caseworker to assist with inquiries related to resident admissions, including responding to referrals, maintaining referral logs, providing facility tours, and updating admission forms
  • Replenish nursing supplies in the work area as necessary
  • Report equipment/supply needs to the Nursing Department
  • Provides transportation of lab specimens to the laboratory
  • Assists with timekeeping for the nursing department
  • Assists with scheduling and preparing documentation for applicant interviews
  • Assists with coverage at the reception desk
Qualifications

PREFERENCES:

May give preference to applicants who have worked in a health care setting.

KNOWLEDGE:
  • Knowledge of office procedures, filing, alphabetizing, English language, and arithmetic.
  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of word processing, spreadsheet, and email programs.
  • Knowledge of assembling, sorting, and distributing documents.
  • Knowledge of reviewing and editing documents for accuracy and completeness.
  • Knowledge of methods used to tactfully deal with the public.
  • Knowledge of telephone etiquette and coordinating telephone and visitor traffic.
  • Knowledge of preparation of records, reports, and correspondence.
  • Knowledge of agency policies and procedures.
MINIMUM QUALIFICATIONS:

Education:

High School Diploma

Experience:
0-2 years of progressive work experience (typically in Business Office Communications)

OR

Education & Experience Substitution:
1-3 years of progressive work experience (typically in Business Office Communications)

PHYSICAL WORKING CONDITIONS:
  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
  • Must be able to lift up to 50 pounds.

  • FLSA: Non-exempt
  • For the health and protection of our residents, annual influenza vaccination is required as well as annual testing for tuberculosis.
  • A background check, including the taking of fingerprints, will be completed through the Wyoming Department of Criminal Investigation, the Department of Family Services, and the Federal Bureau of Investigation for every successful applicant.
  • Employees of this facility will be expected to follow all rules and requirements established by the Centers for Medicare and Medicaid Services regarding COVID-19.
