Job Description


Responsible for the management of facility related services and processes that support the operations of Planned Parenthood of Metropolitan Washington DC, Inc. (PPMW) and exercises oversight of the security program ensuring a safe and secure environment for all staff, visitors, and volunteers by establishing and enforcing security policies and procedures. Involved in strategic planning and day-to-day operations, particularly in relation to buildings and premises.

  • Plan, direct and monitor the activities and operations of PPMW facilities including building maintenance, upkeep, ongoing preventive maintenance functions and coordinate efforts with Health Center Managers, administrative and health center staff and/or building management companies for all PPMW locations.
  • Negotiate, procure, and manage all facilities related vendor contracts and service agreements within established finance and accounting policies and procedures.
  • Understand the scope of all building electrical and mechanical requirements, including security systems (burglar alarm and monitoring), new building projects and/or building renovations. Ensures that major equipment and furnishings are maintained in safe, operable condition and/or arrange for replacement. (Including heat pump, air conditioner, boiler) Establishes procedures and contacts to ensure timely repairs of equipment requiring minor repairs on a frequent basis.
  • Maintain a centralized filing system and database of PPMW leases, warranties, maintenance contracts, HVAC, electrical, plumbing, data cabling, security wiring and fire protection plans and specifications and other related facilities documents, including a tracking system for renewal of facilities contracts.
  • Maintain established furniture, furnishings, finishes and equipment standards throughout all PPMW locations and maintain an inventory of all facilities assets. Coordinate all purchases with the Chief Operating Officer.
  • Oversees the cleaning and maintenance of building interior, including vacuuming, room set up, trash collection, and disposal, minor plumbing repair, light electrical repair and replacement, minor painting, changing air conditioner filters, flood control, and related matters.
  • Ensure all PPMW locations meet health and safety requirements and are in compliance with all PPMW policies and procedures and local, state, federal and regulatory agency codes and standards. Ensure timely response to regulatory issues and inspection findings.
  • As Director, administers the coordination and execution of emergency drills and alarm tests and emergency back-up systems. Provides or arranges for the provision of related training for affiliate staff. Follows up on any deficiencies or recommendations.
  • Manages and conducts periodic facility inspections identifying needed improvements as well as risk management, security, and loss prevention issues in need of attention. May be actively involved in the implementation of Risk Management objectives and monitoring progress in attaining risk management objectives.
  • Plans, examines; analyzes, evaluates, and supervises PPMW\'s security operations, inclusive of physical security assets and security personnel.
  • Performs; arranges and supervises executive protection.
  • Manages keys and security code distribution to PPMW staff at all facilities.
  • Assists in managing the non-clinical/non-medical aspect of the affiliate employee safety program. Assures compliance with all applicable laws and regulations.
  • Serves as the PPMW liaison with public law enforcement, fire, security, towing and other agencies as it relates to the security and safety for PPMW and/or PPMW personnel.
  • Ability to maintain confidentiality and provide excellent customer service through attention to detail, follow up and appropriate communication to internal and external customers.
  • Completes other assignments as deemed appropriate by the Chief Operating Officer.
OTHER FUNCTIONS

This position is designated as essential personnel by PPMW and therefore subject to

call up in the event emergency protocol is activated.

Qualifications:
  • Bachelor\'s degree in a related field from an accredited college or university required. A master\'s degree preferred.
  • Minimum of 8 years\' experience in facility/security management, with at least the previous two years in a management/leadership position.
  • Possess knowledge of a full range of security principles, concepts, practices, products and services; methods for evaluating risk and vulnerability; implementing mitigating improvement; and disseminating security procedures/processes
  • Thorough knowledge of building maintenance, mechanical systems, utilities management, systems, and space management with the ability to read and interpret architectural and professional journals and legal documents, such as property and equipment leases.
  • Demonstrated ability in working with outside vendors and contractors.
  • Thorough knowledge of security risks inherent to Planned Parenthood, including suspicious encounters, protesters, and other anti-abortion activities.
  • Principles and practices of emergency preparedness, prevention, and facility safety.
  • Strong oral and written communication skills: ability to interact professionally at all levels of the organization.
