University Advancement (UA) secures support for NC State University by raising funds from private sources, engaging current and future alumni, building a culture of philanthropy, and enhancing the university\xe2\x80\x99s reputation through integrated marketing and communications. Led by Vice Chancellor Brian Sischo, UA fulfills its mission through the operations of four main units: University Development, which seeks and obtains philanthropic support; Alumni Engagement and Annual Giving, which builds and fosters relationships and a culture of philanthropy with alumni and other constituencies; University Communications and Marketing, NC State\xe2\x80\x99s dedicated communications agency; and Advancement Services, which provides information management and other key support functions to all University Advancement units.


Advancement Services provides timely, accurate and actionable resources to enhance fundraising and engagement activities at NC State University. We achieve this through effective business intelligence and reporting, compelling donor research and analysis, innovative technology, quality donor and alumni information, and superior customer service, all while applying ethical gift and data management practices. Advancement Services supports the operations of Alumni Engagement and Annual Giving, University Development & University Communications. The unit oversees all advancement applications and reporting systems including the University\xe2\x80\x99s alumni & donor database, Ellucian Advance, generates data reporting and analytics, processing gifts and conducting research about potential contribution opportunities. Advancement Services also maintains financial records, receipts corporate & individual private gifts following the NC State Standard Operating Procedures for Acceptance of Gifts, updates and verifies alumni and donor records, manages donor prospect tracking systems, plans and manages gift agreements & endowment reports, and evaluates donor naming opportunities.


Advancement Services is also responsible for guiding and applying governance for data and systems, as well as leading the implementation and alignment of advancement technology to support Advancement\xe2\x80\x99s efforts.




Essential Job Duties

The Associate Director of Advancement Learning position will design, architect, and manage the learning strategy, with the objective of creating a learning and development eco-system that leverages the appropriate methodology, platforms, systems, and tools to provide responsive and adaptive learning experiences for employees in the University Advancement (UA) community. This position is also responsible for promoting engagement and change management initiatives related to NC State\xe2\x80\x99s advancement CRM ecosystem.

The Associate Director of Advancement Learning is a results-driven, influential thought leader who builds and champions learning and change initiatives across the dynamic, ever-changing, fast-paced world of University Advancement. In this role, the Associate Director of Advancement Learning will closely partner and collaborate with leadership in Advancement Services along with other University Advancement departments to develop an educational curriculum in alignment with learning and development initiatives that integrate into the overarching organizational strategy. The Associate Director of Advancement Learning will leverage strong program development skills, project management skills, content development capabilities, and facilitation skills to bring these initiatives to fruition.

This position will report to the Executive Director of Advancement Information & Technology and will supervise one temp Advancement Community Training Coordinator/Specialist/Assistant.

Major Duties and Responsibilities:

Strategy Development:

  • Collaborates with leadership in charting and implementing the strategic learning and development plan for Advancement Services; develops and leads L&D strategies and initiatives.
  • Architects University Advancement onboarding and immersion experience for new hires in partnership with Human Resources and Advancement leadership.
  • Thoughtfully influences & executes rigorous and sustainable processes for implementing change within University Advancement by creating collaborative partnerships with key resources, generating stakeholder involvement, user buy-in and acceptance, and encouraging continual process improvement.

Learning Program Development and Management:
  • Gain a full working knowledge of each Advancement Services unit to work alongside leaders to design effective training programs.
  • Implement Learning Management System (LMS) platforms such as Docebo, Tovuti, and TalentLMS.
  • Direct the creation, delivery, and assessment of learning programming (online, blended, hybrid, and face-to-face courses).
  • Conduct follow-up studies of all completed training to evaluate and measure results.
  • Maintain high-quality standards for delivery and sustainability of core curricula and programs.
  • Create and manage the communication strategy for promoting and highlighting key training processes and activities.
  • Manage documentation and upkeep of learning and knowledge assets including tutorial videos, training recordings, knowledge articles, update articles, etc to ensure accuracy and usability.
  • Oversee the development of new institutional knowledge products in collaboration with partners in AS and UA.
  • Partner with UA Talent Management to develop programs and drive effective delivery through implementation.
  • Lead Advancement Services session of Quickstart, university business practices program.

System Administration:
  • Manage current accounts for internal institutional software systems and databases, and future advancement systems (e.g. Ellucian Advance, Blackbaud Fundraiser Performance Management, etc.) and communicate relevant information to new users \xe2\x80\x93 onboarding, tips for success, recommended learning paths, links to documentation.
  • Track and audit accounts, regularly, for usage and job relevance. Manage a process to identify account holders that no longer use or need to use the system and deactivate their accounts \xe2\x80\x93 ensuring that the people who have access are active users who have a job-related need to have access.
  • Maintains the University Advancement Community directory. Performs regular maintenance and auditing of the directory.



Change Management:
  • Assist with the development and implementation of change management strategies utilizing digital maturity, ADKAR, and other relevant models in collaboration with leadership to successfully implement initiatives that align with Advancement Services and University Advancement\xe2\x80\x99s strategic goals.
  • Generate creative tactics to help drive user adoption and buy-in for digital transformation projects and initiatives including the advancement\xe2\x80\x99s new CRM.
  • Develop change management communications for multiple audiences (Advancement Services staff, UA partners, etc) across numerous channels and according to best practices.
  • Facilitates SWOT analysis, strategic planning, surveys, etc to identify and report opportunities, risks, goals and roles, communication plans, feedback mechanisms, and metrics for change progress evaluation, as appropriate, to define and positively accomplish desired projects or initiatives.


Actively maintain/improve professional knowledge and participate in related training sessions; participate in planned and ad-hoc activities designed to improve team and office effectiveness and efficiency.

Qualifications



Minimum Education and Experience
Require post-baccalaureate credentials or a bachelor\xe2\x80\x99s degree plus alternative or equivalent professional training and experience may be substituted for the advanced degree on an exceptional basis.

  • Excellent verbal and written communication skills;
  • Strong interpersonal and critical thinking skills, including the ability to show flexibility and adaptability when confronted with competing priorities and interests;
  • Experience developing learning materials, knowledge articles, web articles, and technical training documents;
  • Experience in developing and implementing policies and procedures;
  • Experience with developing web/video training programs using video creation/editing platforms such as Panapto and PlayPosit;
  • Experience with teaching and learning technologies such as Moodle, Canvas, and Blackboard;
  • Experience communicating complex processes in easy-to-understand instructions;
  • Organization and time management skills;
  • Excellent attention to detail;
  • The ability to interact effectively and collegially with diverse groups who may have different purposes;
  • Organizational skills to handle several projects simultaneously, accommodate shifting priorities, and meet deadlines;
  • Proficiency in MS Office and Google applications;
  • Ability to work independently and as part of a team.



Preferred Qualifications
  • Knowledge of software used for fundraising/alumni data and an understanding of information management in a database structure;
  • Experience with Database Management;
  • Experience with web publishing platforms such as WordPress;
  • Experience creating and leading training programs through a technology/business transformation project (i.e. migration, implementation of new complex software.)
