Brief Position Overview

The Assistant Registrar for Operations is responsible for all high-level administrative, human resources, fiscal and transactional functions for the Office of the Registrar, including, but not limited to oversight and management of HR processes and including prersonnel training and office operations documentation. This position is critical to the Office of the Registrar and provides a key leadership role. The successful candidate will need strong organizational and time management skills, attention to detail, ability to multi-task and a thorough understanding of university policies and procedures.

Position Details

General Statement

The Office of the Registar is a fast-paced, dynamic, supportive and engaging office that is seeking an additional member for its leadership team. By building a strong, highly-communicative and mutually supportive team the Office of the Registrar serves the people (students, faculty, staff members, third party partners, and the public) of the Montana State University community in our collective effort to meet the goals of the strategic plan and fulfil the promise of the land-grant university.
Duties and Responsibilities

  • Manage operational workflow relative to the academic calendar, transaction cycles and service-request from students, faculty and staff including but not limited to: readmission, registration and schedule changes, transcript auditing and degree awarding, and related petitions and appeals.
  • Shared stewardship of the Office Calendar and Operational Documentation
  • Express leadership in promoting an atmosphere of efficient and excellent service for all university constituents and students.
  • Oversee office inventory equipment and supplies
  • Support and improve data integrity and compliance with working knowledge of laws, policies and best practices related to records management. Oversee student records retention and distribution policies and practices
  • Coordinate new employee recruitment processes and handle all new hire procedures.
  • Manage a staff of up to 8 professional employees and 5 student workers
  • Train new Registrar Office staff and facilitate profesisonal development for continuing staff with a focus on individual growth and development along with efficient and consistent office operations.
  • Provide key leadership role to the Registrar Office to maintain student persistence and success goals.
  • List any secondary duties assigned to this position:
  • Collaborate with the Registrar Office leadership team and other campus partners on a variety of tasks or special projects, as assigned.
Required Qualifications - Experience, Education, Knowledge & Skills * Bachelor\'s degree or an equivalent combination of relevant education and/or experience in a position that provides applicable experience working with college students and programs or activities can be substituted.
  • Progressively responsible experience in higher education administrative settings
  • Demonstrated excellence in meeting or exceeding expectations with a wide variety of constituents. Including keen ability to anticipate customer (students, faculty and staff) needs.
  • Demonstrated excellent organizational, analytical and critical thinking skills and ability to effectively coordinate and prioritize workload to meet time-sensitive deadlines.
  • Demonstrated ability to work independently, organizing and prioritizing large volumes of work with a high degree of accuracy and confidentiality; attention to detail; and adapting to changing priorities while maintaining a positive, effective and professional approach.
  • Demonstrated excellent verbal and written communication skills and strong interpersonal skills
  • Demonstrated experience developing and maintaining detailed and accurate record keeping systems.
  • Strong computer skills, including the ability to use Outlook, Excel, Word and database management and spreadsheet software.
Preferred Qualifications - Experience, Education, Knowledge & Skills * Professional experience in Higher Education setting
  • Experience using Ellucian/Banner database.
