Job Summary


We are seeking a proactive and detail-oriented Assistant Office Manager to support the smooth operation of our office environment. The ideal candidate will possess strong organizational, communication, and administrative skills, with experience in office management, human resources, and vendor coordination. This role offers an opportunity to contribute to a dynamic team, oversee daily office functions, and assist in various administrative and managerial tasks to ensure efficiency and professionalism across all operations.

Responsibilities



Assist in overseeing daily office operations, including front desk management and multi-line phone systems Coordinate scheduling and calendar management for team members and executive leadership Support event planning and execution for company meetings, trainings, and special events Manage vendor relationships, including procurement and service coordination Handle bookkeeping, payroll processing, budgeting, and financial recordkeeping using QuickBooks or similar software Supervise clerical tasks such as filing, data entry, document preparation, and record maintenance Support human resources functions including onboarding, training & development, and employee records management Maintain effective communication with staff through phone etiquette and professional correspondence Assist with medical office management tasks if applicable to the organization's scope of services Ensure adherence to office policies and procedures while promoting a positive work environment

Experience



Proven experience in office management or administrative roles with a focus on clerical or medical office environments Supervising experience in team management or project coordination is preferred Familiarity with QuickBooks accounting software and basic bookkeeping practices Strong organizational skills with the ability to manage multiple priorities efficiently Excellent communication skills, both verbal and written Experience with event planning, vendor management, payroll processing, and budget oversight is desirable Prior experience working with multi-line phone systems, calendar management tools, and front desk operations is advantageous Demonstrated ability to train staff and support professional development initiatives

Job Types: Full-time, Part-time

Pay: $250.00 - $400.00 per week
