Summary/Objective:
The ARU-CESU Supervisor leads, supervises, guides and instructs employees in the Consultative Examination (CE) Scheduling Unit and Assistance Request (AR) Unit of approximately 24 employees (3 direct reports and 21 indirect). Leads and develops strategic planning efforts and creates/develops communication materials, techniques and/or tools. The CE Scheduling Unit is responsible for obligating and deobligating the funds associated with scheduling claimant appointments with medical provider vendors throughout the state of Georgia. The Assistance Request Unit works closely with other state and federal agencies to create CE orders within SSA disability claims processing systems.

Duties are complex in nature and involve access to confidential information, include document review, maintain a working knowledge of medical terminology, review of claimant case file information, compilation of information and research, managing and reviewing employee productivity and goal achievement or a similar level of work. This position recommends and implements policies and procedures and has daily interactions with internal and external partners and vendors associated with SSA and the disability adjudication process. Represents program or unit and provides information and assistance to internal and external customers. May be called upon to make formal presentations at internal and external PR or training functions, or community outreach.

Essential Functions:

  • Oversight of the Agency\xe2\x80\x99s Consultative Examination Scheduling and Assistance Request Units.
  • Maintains current knowledge of SSA systems used for adjudicating disability claims.
  • Maintains current knowledge of SSA systems used for ordering, reviewing and scheduling consultative examinations when requested through the claims adjudication process.
  • Actively participate with internal associates and SSA components to provide continuity and quality of service to claimants, vendors and other DAS units.
  • Provide direct customer service to claimants, adjudicators and other DDS or SSA personnel when inquiries arise.
  • Communicate successfully via telephone, Teams meetings and e-mail in support of internal and external customers.
  • Review Consultative Evaluation (CE) orders, assistance requests and disability claims, providing feedback and recommendations to unit staff, adjudicators and other DAS personnel or SSA personnel, including assisting components and representatives from the Office of Disability Adjudication and Review (ODAR).
  • Remain current and able to review and manage assistance requests received from other State and Federal agencies.
  • Assure timely closure of assistance request cases to and from other State and Federal agencies.
  • Evaluate and monitor unit operational efficiency and recommend changes to improve.
  • Prepare required daily, weekly, monthly reporting and distribute in a timely manner.
  • Assure CESU achieves the DAS and federal goals regarding maximum quantities of CE\xe2\x80\x99s pending scheduling.
  • Assure appropriate and thorough training is provided to new personnel assigned to ARU and CESU.
  • Directs and reviews work assignments of CESU and ARU supervisors; provides guidance regarding unit strategic plans for workload assignments.
  • Creates and maintains a high-performance work environment while maintaining a stable, productive and engaged work group.
  • Retain access and abilities to schedule and reschedule consultative examinations, special studies and create travel vouchers in accordance with agency policy as needed in support of unit.
  • Maintain direct and open communications with senior leadership to identify problems and propose solutions for improving our operations.

Required Education and Experience:

Bachelor\'s degree in a related field from an accredited college or university AND Two years of experience managing professional level staff OR Six years of related professional experience AND Two years managing professional level staff. Note: An equivalent combination of education and job specific experience that provided the knowledge, experience and competencies required to successfully perform the job at the level listed may be substituted on a year-over-year basis.

Preferred Education and Experience:

Preference will be given to applicants who, in addition to meeting the required education and experience, possess one or more of the following:
  • 3 years of experience in disability claims adjudication
  • 2 years of experience collaborating with external partners and vendors
Supervisory Responsibility:

This position manages a team within the department and is responsible for the performance management and hiring of the employees within that team.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers and smartphones.

Physical Demands:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Working Conditions:

Incumbents working in this job perform duties in an office setting. This is a 40-hour workweek requirement. The position may involve managing a high-volume workload and demands a high level of accuracy while working with deadlines. Regular attendance is an important part of being successful in this position. Reasonable accommodations can be made available to qualified individuals upon request.

Position Type and Expected Hours of Work:

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. This position occasionally requires long hours and weekend work.

Travel:

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
