JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State Berks is accepting applications for an Administrative Support Assistant, level 3, who will report to the Academic Affairs Office and serve a dual role in supporting both the Division Head and the office of the Division of Humanities, Arts and Social Sciences as well as The Office of Planning, Research, and Assessment.

Work hours for this position will be either 9 am \xe2\x80\x93 6 pm or 10 am \xe2\x80\x93 7 pm, to provide evening support.

Responsibilities for this role include but are not limited to:

Conduct confidential processes, submit reports, gather information from various sources, work with HR and Academic Affairs, and be responsible for several financial operations.

Extract and gather information from iTwo to create reports for faculty and staff, as required, utilizing Microsoft Excel.

Update and maintain Berks listservs.

Maintain and update the Penn State Berks Fact Book

Coordinate Annual Faculty Activity Reports and March Conference reviews.

Compile information, track and process documents, peer reviews, Promotion and Tenure, candidate interviews, and others in conjunction with Academic Affairs.

Arrange, attend, and take minutes at meetings, maintain calendars, support faculty and programs in the Division; post cancelation notes, maintain and order supplies.

Process a variety of financial/human resources forms and documents (I-9 process, SIMBA, and Workday)

Provide evening support for faculty, staff, and students.

Must be detailed oriented, a strong logical thinker, possess excellent verbal and written communication skills, strong interpersonal, organizational, and time management skills, as well as the highest level of confidentiality.

Strong computer proficiency with experience in Microsoft Office Suite, and knowledge of electronic systems software.

Typical Education & Experience:

Typically requires an associate\xe2\x80\x99s degree or higher plus three years of related experience, or an equivalent combination of education and experience.

The successful candidate must demonstrate the ability to manage multiple projects.

The ability to work both independently and cooperatively with various levels of faculty, staff, administrators, and outside agencies.

Excellent judgment, logical thinking, and organizational skills.

Excellent verbal and written communication skills.

Outstanding customer service orientation.

This is a 100% full-time equivalent position working 40 hours/week.

This position requires the successful completion of standard background checks in accordance with University policy.
