Overview

The Agency of Transportation\'s (AOT) Internal Services group seeks a proactive and customer-focused (responsible for internal Agency Staff) Administrative Services Coordinator III to play a pivotal role in providing technical and administrative support for mobile devices and ensuring streamlined facility operations across multiple office spaces. This multifaceted position requires adept customer service, technical account management for cellular devices, and versatile operational support. The ideal candidate will adeptly balance interpersonal skills with the efficient execution of tasks related to mobile device management, facility services, and operational support.

The Internal Services group\'s role involves providing assistance and support to our Agency in various areas, including space management, mail services, security services, procurement, mobile device management, as well as health and safety.

  • Account/Technical Management of AOT/DMV Mobile Devices:
  • Lead the effective management of the mobile device program for the Agency of Transportation.
  • Order new lines of service for various mobile devices, such as iPhones, iPads, Androids, and other agency-specific devices.
  • Enhance and maintain technical skills to provide comprehensive technical support, including application assistance for various platforms (Apple, Android) and troubleshooting.
  • Develop, communicate, and uphold policies and processes to ensure seamless mobile device operations.
  • Maintain accurate account records, including new service orders and the deactivation of inactive lines.
  • Manage inventory records related to cellular devices.
  • Oversee additional cellular requests and manage special projects when required.
  • Deliver exceptional customer service when engaging with stakeholders.
  • Facility Operations (Vending, Water, Ergonomics, and Safety Equipment):
  • Act as the primary point of contact for vending machine services across our office complexes, ensuring well-stocked and maintained machines.
  • Manage the stocking and upkeep of drinking water dispensers at multiple office sites.
  • Procure safety equipment to ensure compliance with State safety regulations, guided by the building Emergency Coordinating Manager.
  • Conduct research on statutes and vendors to facilitate the acquisition of safety equipment for a secure and safe workplace.
  • Initiate, secure, and manage ergonomic adjustments based on certified assessments.
  • Daily Internal Services Support:
  • Provide backup support and assistance across various tasks, including mail handling, responding to facility inquiries, VOIP support, annual verifications, purchase coordination, office repairs, and relocations.
  • Contribute to maintaining an uninterrupted operational flow within the Internal Services division.
This role is primarily office-based with a hybrid telework opportunity. Flexibility in working hours might be required to align with project demands and operational needs. This position will be based out of Barre, Vermont.

Environmental Factors

Work is performed in a standard office setting.

Minimum Qualifications

Four years of full-time college level study OR a Bachelor\'s degree or higher in accounting, business or public administration, office administration or a related field.

OR

Three years of full-time college level study in accounting, business or public administration, office administration or a related field AND one (1) year or more of experience providing administrative-level support to a business or organization INCLUDING one (1) year or more in an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.

OR

Two years of full-time college level study OR an associate\'s degree or higher in accounting, business or public administration, office administration or a related field AND two (2) years or more of experience providing administrative-level support to a business or organization INCLUDING one (1) year or more in an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.

OR

One year of full-time college level study in accounting, business or public administration, office administration or a related field AND three (3) years or more of experience providing administrative-level support to a business or organization INCLUDING one (1) year or more in an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.

OR

High School diploma or equivalent AND four (4) years or more of experience providing administrative-level support to a business or organization INCLUDING one (1) year or more in an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.

OR

One (1) year or more as an Administrative Services Coordinator II with the State of Vermont

NOTE: Only administrative work experience is qualifying. Administrative support includes those functions which keep the organization running or provide the resources for others to provide the programmatic work (e.g., accounting, budget management, grant administration, finance, human resources, payroll, purchasing, or space management).

Preferred Qualifications

Proficiency in cultivating friendly customer service, with a positive and approachable demeanor.
Familiarity with account management, preferably within the telecommunication or mobile device domain.
Sound understanding of cellular technologies, networks, and technical troubleshooting.
Knowledge of mobile device applications, MS Office Apps, iCloud, Google, and Apple ID.
Effective problem-solving abilities and keen attention to detail.
Excellent communication skills for conveying technical concepts to non-technical individuals.
Adept multitasking capabilities with a commitment to meeting deadlines.
Comfort with researching vendors and statutes to ensure safety compliance.
Ability to work both autonomously and collaboratively within a team.

Special Requirements

For some positions experience working with the VISION system (VISION is the State of Vermont PeopleSoft financial management system) may be required.
