At UConn Health, this class is accountable for independently providing administrative management and/or advanced technical program support for the Nursing/Staffing Payroll Office. This position will work in the UConn John Dempsey Hospital located in Farmington, CT.

SUPERVISION RECEIVED:
Works under the limited supervision of an employee of a higher rank.

SUPERVISION EXERCISED:
Supervises lower level employees as assigned. EXAMPLES OF DUTIES: OFFICE MANAGEMENT: Supervises and coordinates administrative details for Nursing Staffing/Payroll Office and Bed Management; directs the workflow and performs administrative support for program staff. Assists in the preparation of budgets, monitors expenditures and may make decisions regarding routine budget matters. Arranges and coordinates meetings and functions, to include space and equipment. Prints biweekly timecards for various units. Maintains an inventory of supplies and equipment and purchases items, when necessary, from the warehouse and/or HuskyBuy. Updates monthly budgeted census using appropriate template, makes necessary changes as requested and sends reports to Nursing Supervisors as scheduled. Answers the call out line, follows appropriate call out procedures, and makes necessary staffing adjustments in Kronos. Oversight of position control and hire requests (PTR process). Assists with nursing recruitment, makes interview appointments, schedules calendar invites to search committee. Makes travel arrangements. Schedules staff and oversite of schedules. support Bedflow Staff. Performs other related duties as required. TYPING/DATA ENTRY: Using a computer, formats and types a full range of correspondence, reports, bills, drafts, etc., from rough draft, transcription, dictated notes, etc. Proofread for content. Edits using knowledge of grammar, punctuation, and spelling. Enter new/transfer employee information in Kronos. Make necessary adjustments to Payroll in Kronos. Enter manual payroll codes, as necessary.

FILING: Organizes and maintains a complex filing system to support a program/department, including fiscal, personnel and other records. Compiles and maintains a collection of resource materials and program information.

CORRESPONDENCE: Composes complex letters, memos, etc. for manager\'s signature.

REPORT WRITING: Assembles data, writes and/or edits reports, requiring knowledge of subject area. Create custom reports at request of ANM and Managers. Uses complex spreadsheet programs. Run overtime and error reports in Kronos. Oversight of TM1 reporting and reconciliation. Processes quarterly Night Nursing Bonus\'. Provides Patient Flow Assistants with monthly budget census numbers for census reporting.

INTERPERSONAL: Acts for and represents supervisor to other University offices, the public or outside agencies. Coordinates a variety of non-routine matters. Confers with and assists supervisor in the performance of administrative and program activities. Acts as resource person for Nursing Staffing/Payroll. Answer phone calls and emails from employees regarding payroll discrepancies. Work with HR Benefits, Records, Payroll and Talent Acquisition to ensure employment transactions are processed accordingly. Liaison for Traveler\'s, schedule monthly conference calls.


MINIMUM QUALIFICATIONS, KNOWLEDGE, SKILLS, ABILITIES:
Knowledge of applicable program rules and regulations
Knowledge of business math
Considerable knowledge of proper grammar, punctuation, and spelling
Considerable knowledge of business communications, oral and written communication skills
Knowledge of medical/technical terminology
Considerable knowledge of office procedures
Considerable interpersonal skills
Data management skills
Ability to schedule and prioritize work
Supervisory ability

EXPERIENCE AND TRAINING: General Experience:
Six (6) years clinical medical/hospital administrative experience

SUBSTITUTIONS ALLOWED:
Bachelor\'s degree and two (2) years of clinical medical/hospital administrative experience may substitute for the general experience.


PREFERRED EXPERIENCE:
Knowledge of staff scheduling
Experience using KRONOS time management system.

SCHEDULE: Full time, 40 hours per week, 8:00 am to 4:30 pm, minor holidays as assigned, 30 minute unpaid meal break. Why UConn Health
