Operations & Administrative Assistant
to help manage day-to-day operations, client communication, and internal coordination as the company continues to scale.
This is a
high-trust role
for someone who is organized, calm under pressure, and capable of handling responsibility without constant supervision.
Position Details
Location:
692 N 1890 W, Suite 44B, Provo, UT (In-Office)
Schedule:
Monday-Friday, 8:00 AM - 1:00 PM
Pay:
$15-$22/hour (based on experience)
Type:
Part-Time (30-35 hrs/week)
What You'll Be Responsible For
You'll act as a key support hub between
clients, field teams, and internal systems
.
Core responsibilities include:
Answering inbound calls and emails professionally
Communicating with clients regarding scheduling, updates, and issues
Coordinating daily schedules, reschedules, and route adjustments
Invoicing and payment tracking using QuickBooks
Maintaining clean, accurate data in internal systems (Jobber, Google Sheets, Slack)
Supporting employee onboarding paperwork and file organization
Monitoring inventory levels and coordinating reorders
Preparing short weekly notes or reports on operational improvements
Assisting with light behind-the-scenes content or internal updates when needed
Owning follow-through until issues are resolved
You are not expected to know everything on day one. You
are expected to learn quickly, take ownership, and follow systems

Skills & Experience
Administrative, operations, or customer service experience preferred
Comfortable speaking on the phone with clients
Proficient with Google Workspace; Excel experience a strong plus
Willing to learn systems like Jobber, QuickBooks, and Slack
Reliable, punctual, and professional
Spanish-speaking is a plus (not required)
