Northeastern Academy & Early Learning Center is a high-quality childcare center serving infants through preschool. We are seeking a dependable, organized Administrative Operations Assistant to support daily operations, help keep the center running smoothly, and assist our leadership team. This position is ideal for someone who is detail-oriented, enjoys helping others, and is interested in growing into a higher-level leadership role in the future.
Position Overview
The Administrative Operations Assistant will support the Director and Onsite Supervisor with scheduling, communication, compliance documentation, staff coordination, and daily operational tasks. This role does
not
require childcare licensing qualifications to start, but the right candidate may be trained and supported to grow into an Assistant Director position over time.
Key Responsibilities
Assist with staff scheduling, daily coverage, break rotations, and ratio monitoring
Support front office operations including answering phones, greeting families, and managing Procare check-in/out
Help with supply ordering, inventory tracking, and classroom support needs
Assist with CACFP documentation, meal counts, and compliance paperwork
Maintain accurate records, forms, and daily logs required by Iowa HHS
Support parent communication, reminders, and follow-ups
Ensure classrooms and common areas remain organized and presentable
Assist Director with projects, training coordination, and administrative tasks
Help maintain a positive, supportive environment for staff and families
Provide basic operational supervision when assigned, under Director oversight
Who We're Looking For
Strong organizational and multitasking skills
Professional, reliable, and able to handle a fast-paced environment
Excellent communication and interpersonal skills
Ability to learn childcare regulations and operational systems
Comfortable using computers, software, and apps
Positive attitude and willingness to help wherever needed
Experience in childcare, administration, scheduling, customer service, or office support is helpful but
not required
Leadership potential and interest in future advancement is a plus
Growth Opportunity
For the right candidate, this position may grow into an
Assistant Director
role. Training through TEACH/WAGES and internal leadership development will be supported by the center.
Work Schedule
Full-time, Monday through Friday
Occasional flexibility as needed to support operations
