Job description A fast-growing local company is seeking to fill an administrative position. The perfect candidate should have HR knowledge and management experience. This person will be a project manager, motivated, proficient, and highly detail oriented. This individual will perform a variety of accounting and office support functions including, but not limited to, the following, but not limited to: Office management

  • Participate in corporate policy development
  • Assists corporate officers and personnel as necessary
  • Maintain accurate and organized records
  • General admin and special projects
  • Uniform tracking and ordering for all Employees
  • Help develop company standard customer service
  • Performs other related duties as assigned by owners and managers
People Operations
  • Disseminates, and monitors company policies, facilitate training, compliance, and benefits to attract, retain, and motivate employees.
  • Oversees recording and maintenance of employee information, such as personal data, compensation, benefits, tax data, attendance, performance reviews and evaluations, disciplinary actions, and terminations/separations of employment.
  • Assists in conducting and resolving investigations regarding employee complaints, concerns and disciplinary actions.
  • Ensure new hire protocol (job offers, drug testing, background checks, etc.) is followed. Conduct new hire orientations.
  • Manage termination process to include, but not limited to, exit interviews and retrieval of organization property.
  • Provides human resources advice and consultation to employees and management, to include coaching and counseling on performance management issues, conflict management, interpretation of employment policies and resolution
  • Identifies training needs and/or gaps and develops training programs as appropriate.
Accounting/ Data management
  • The position will mainly include the management of general accounting tasks, including entering of accounts payable, bank reconciliations, and entering journals.
  • Complete month and year end close, and perform variance analysis
  • Coordinate accounts payable, including vendor management, monitoring due dates, obtaining approvals, payment of bills, and updating cash forecasts
  • Ordering Gas Cards for Employees and Audit of Receipts to Gas Card Statement
  • Daily Remote Deposits & Reconciling Bank Statements & Credit Card Statements
Project Management
  • **Cross-Departmental Coordination:** Collaborate with different departments, such as Office Management, People Operations, and Bookkeeping, to ensure seamless project execution by aligning resources, timelines, and goals effectively.
  • **Project Planning and Execution:** Develop detailed project plans for initiatives like corporate policy development, uniform tracking, and new hire orientations. Execute these plans, ensuring tasks are completed on time and within scope.
  • **Task Delegation and Tracking:** Assign responsibilities for special projects across departments, overseeing their progress and ensuring that milestones are met. Utilize tools or systems to monitor task completion and address any bottlenecks.
  • **Process Improvement Initiatives:** Identify opportunities for streamlining processes, enhancing efficiency, and implementing best practices across various functions such as record maintenance, employee onboarding, and financial tasks.
  • **Reporting and Analysis:** Create comprehensive reports outlining the progress, outcomes, and impacts of special projects and initiatives. Analyze data to provide insights that inform decision-making and contribute to the continuous improvement of operations.
Qualifications:
  • Proficient in Microsoft Office, Specialty software and online web portals
  • 3 years of experience in HR knowledge
  • 3 years of Financing in small to mid-size companies.
  • Experience working with Customers, Banking and vendors
