Job Description


Our client is seeking an Administrative Manager who report to the Presidents of a leading Financial Services firm. This role will be based in their Darien, CT offices 5x per week and applications must be local.

This a dynamic and managerial position for a candidate who has prior experience managing other administrators, experience working with C-level executives, and who have prior EA experience.

Responsibilities

  • Manage the calendars of both Presidents and act as the gatekeeper
  • Follow through on projects and deadlines and communicate to the Presidents as needed
  • Handle and coordinate detailed travel itineraries, agendas, and plans
  • Assist with training the Administrative Staff and oversee their day to day
  • Answer emails and respond on behalf of the Presidents, as requested
  • Develop and maintain exceptional working relationships with internal teams and external stakeholders
  • Liaise with the Media Strategist and the PR team and keep record of speaking and media engagements for the Presidents
  • Handle recruitment for the office of the President including, arranging interviews, reviewing resumes, writing job descriptions, arrange offer letter, and conducting reference checks
  • Approve vacations for Administrative Staff in Workday and communicate with the Presidents on long-term PTO
  • Schedule meetings, arrange agendas, and produce minutes
  • Approve Administrative Staff & Intern\'s time sheets

Qualifications
  • Completed Bachelor\'s Degree
  • 8 to 10 years of experience supporting C-Level Executives, preferably in a financial services firm
  • Must be local to the Darien, Connecticut area
  • Travel to and from NYC and local offices as needed
  • Excellent organizational skills that reflect ability to perform and prioritize multiple tasks
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion
  • Adaptable and flexible to varying demands and changing environments
  • Education and Experience Requirements
  • Strongly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat
