Job Title: Administrative Manager Position Summary: The Administrative Manager is responsible for the overall administrative operations of Alaska Retinal Consultants (ARC). Supervises employees and manages daily tasks and work assignments within the administrative department. Responsibilities:
Administrative Operations
Provides oversight of patient workflow; develops and creates efficient processes for check-in and check-out.
Develops and manages administrative policies and procedures; follows guidelines in accordance with governmental rules and regulations.
Plans, implements, and assigns tasks and duties to administrative staff.
Trains and monitors staff on the practice management and electronic medical records systems to ensure compliance, accuracy, and quality of administrative documentation.
Trains and monitors staff on call center operations and patient travel program.
Manages communications received through patient portal, website, voicemails, etc.
Program Management
Responsible for the overall management of the scheduling template; works directly with the physicians and Practice Manager to create, edit, and maintain the template.
Ensures compliance with HIPAA and Privacy Act laws.
Assists with Merit-based Incentive Payment System (MIPS) data collection and reporting.
Human Resource Management
Interviews, hires, and terminates administrative staff.
Supervises and leads administrative staff to accomplish all job objectives; inspires confidence and motivation; clearly defines expectations and maintains personal effectiveness under pressure.
Manages staff work schedules; approves/rejects time off and overtime requests; reviews/submits timecards to Financial Manager for payroll.
Creates and maintains personnel files.
Conducts performance reviews.
Administers progressive disciplinary actions, as necessary.
Initiates, coordinates, and implements training and development opportunities for staff.
Other:
Assists Operations Manager with management of ARC phone system.
Assists Operations Manager with management of printers, copiers, scanners, fax machines.
Coordinates dictation requests for ARC physicians.
Interacts with ARC physician-owners, managers, and employees as well as contractors, vendors and other outside consultants and regulatory agencies.
Maintains ARC\xe2\x80\x99s core values and standards.
Promotes a positive and cooperative working environment among staff members.
Understands the value of teamwork.
Promotes continuous quality improvement.
Other duties as assigned.
Qualifications:
Minimum 1 year experience working in a clinical or healthcare setting.
