Overview


We are seeking a highly organized and detail-oriented Administrative Assistant to support our team in a dynamic office environment. The ideal candidate will possess strong administrative skills, have QuickBooks and payroll experience, be proficient in data entry, and have excellent communication abilities. This role is essential for ensuring smooth operations and providing top-notch support to our staff and clients.

Responsibilities:



Manage daily project reporting paperwork and follow up with field personnel as required

Prepare time records for weekly payroll

Manage compliance requirements for DOT/Truck Drivers.

Maintain COI files for all subcontractors, updating monthly.

Perform HR related tasks such as on-boarding new employees, coordinating benefits, and maintaining employee records.

Prepare project status reports for management as requested.

Assist with Accounts Payable/Receivable and Weekly Payroll

Provide full administrative assistance to the entire Senior Management team.

Handle day to day clerical items such as filing, answering phones, mail, etc.

Prepare and maintain project files

Oversee Office Cleaning and ensure requested supplies are maintained.

Assist with coordination and preparation of monthly company-wide Safety Meetings

Regular contact with clients, suppliers and company employees

Obtain and maintain Notary Public qualification.

Perform other duties and special projects as assigned

Qualifications:



Construction experience in an administrative role highly desired

2+ years administrative experience

QuickBooks experience

Bachelors degree preferred

Microsoft Office Suite proficiency

Highly organized

Detail Oriented

Ability to operate in a fast-paced, growing environment

Excellent oral and written communication skills

Interpersonal Skills

Solid organization skills, including multitasking and time-management

Job Type: Full-time

Pay: $40,000.00 - $45,000.00 per year
