Job Summary


We are seeking a detail-oriented and Administrative Assistant Analyst to join our healthcare team. The ideal candidate will be responsible for managing mental health billing processes, ensuring accurate coding, and maintaining compliance with industry standards. This role requires a strong understanding of medical coding, billing procedures, and electronic health record (EHR) systems to support efficient revenue cycle management and improve overall financial performance. Cnadidate must be eager to learn, demonstrates excellent organizational and communication skills, and takes accountability for accuracy and timeliness. This candidate will play an essential role in supporting our billing operations, administrative processes, and coordination with insurance providers and patients.

The selected candidate will be trained in Outpatient Mental Health Clinic (OHMC) and Psychiatric Rehabilitation Program (PRP) billing using Availity and Carelon portals, as well as Electronic Health Record (EHR) system Tebra for billing, documentation, and account reconciliation.

Billing and Administrative Duties:



Learn and perform OHMC and PRP billing accurately using Availity and Carelon platforms.

Administrative Support:



Compose professional emails and call correspondences to patients, insurance representatives, and internal staff. Support the clinic's administrative operations, including scanning, filing, and maintaining patient billing documentation. Answer phones and assist with scheduling and follow-ups related to billing or authorization needs. Enter and reconcile billing data in Tebra (EHR system), ensuring accuracy in claims submission and patient accounts. Process insurance claims, track claim status, and follow up on denials or rejections promptly. Verify insurance eligibility and benefits prior to client appointments. Post payments, adjustments, and reconcile accounts to ensure accurate financial reporting. Communicate effectively with insurance companies to resolve billing discrepancies or claim inquiries. Assist in preparing billing reports and account audits. Maintain organized billing records and documentation in compliance with HIPAA and clinic policies. Analyze medical records and documentation to verify the accuracy of diagnoses and procedures for billing purposes. Submit claims through Availity and Carelon systems and follow up on unpaid or rejected claims to facilitate timely collections. Collaborate with team to clarify documentation discrepancies and optimize claim submissions. Maintain detailed records of billing activities, adjustments, and collections for audit purposes. Stay updated on industry regulations, coding changes, and payer policies to ensure compliance. Assist in resolving billing disputes and coordinate with medical collections teams when necessary. Support the training of staff on medical billing procedures and coding updates as needed.

Skills



Proficiency in modifiers, CPT coding, ICD-9, ICD-10, and ICD coding systems. Strong knowledge of medical terminology, medical records management, and healthcare documentation standards. Experience working with Tebra systems for claim submission and record keeping. Familiarity with medical billing processes, insurance claims processing, and medical collections. Excellent attention to detail with strong analytical skills to identify discrepancies or errors in billing data. Ability to interpret complex medical documentation accurately and efficiently. Good communication skills for collaborating with healthcare providers and insurance payers. Prior experience in a medical office environment is preferred but not required. Required Qualifications:



High school diploma or equivalent required; some college or medical office coursework preferred. Previous experience in a healthcare or medical billing setting is preferred (mental health experience a plus). Typing proficiency and ability to compose clear, professional written communication. Strong numerical aptitude and understanding of how numbers relate to billing and reconciliation. Exceptional attention to detail, organization, and accuracy. Excellent verbal and written communication skills.
Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new software quickly.

Punctual, reliable, and accountable with a strong work ethic. Ability to adapt to new procedures, software systems, and evolving clinic needs. Must maintain confidentiality and professionalism at all times.

Compensation and Schedule:



Pay: $18.00 - $20.00 per hour (commensurate with experience).

Schedule: Monday - Friday 9:00 AM - 6:00 PM (One hour break) 40 hours a week
