SUMMARY:
The Administrative Assistant role is vital to the day to day operations of Buzz Oates Construction. Assist President and SVP of Construction with various projects. A focus of this position would also support the Project Management team with client contracts and subcontracts for building projects.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Excellent communication and time management skills; proven ability to meet deadlines.
Ability to function well in a high-paced environment; performs additional duties as assigned
Draft and prepare correspondence and calendaring for internal announcements and meetings
Assist in preparing and managing presentations.
Welcome the Constructions guests by greeting them, in person or on the phone; answering or directing inquiries.
Drafts and interprets construction contracts; assists in compiling and preparing contract bid documents; establishes and maintains contract records; and ensures compliance with contractual terms and conditions. .
issue subcontracts/ insurance endorsements and track, works with Project Managers (PM) in scope and administrative procedures required to achieve full contractual compliance. Assists in the preparation of and participates in various management review processes providing contractual expertise to the review process.
Secures all necessary approvals and ensures that standard company procedures are followed.
Participates in the pre-award and post-award phases of contracts.
Identifies areas of potential risks to company (warranties, insurance, indemnification) and to enforce provisions of contract.
Ensures project adherence to contract insurance provisions with support from Legal personnel.
Receives requests; updates records, initiates paperwork and follows up on requests for approval of work not previously covered in the contract; processes and obtains approval of contract changes.
Initiates and/or conducts meetings with contractors concerning contractual problems as requested by Construction Project Manager.
May act as liaison between company and subcontractors.
Solves complex problems; takes a broad perspective to identify innovative solutions.
Must be able to operate independently and contribute to a team.
Attendance is a requirement of this position.

Education/Experience:
Ability to multi-task on a large number of issues. Familiarity with commercial construction a plus.
Has knowledge of commonly used concepts, practices, and procedures within construction field. Has developed depth and breadth of expertise in own discipline
Acts as a key contributor in a complex and critical environment and shares expertise
Computer proficiency with Microsoft Suite
Good communication and presentation skills (written and oral); results motivated; ability to prioritize work and meet deadlines; team player.
Computer Skills:
Computer applications \xe2\x80\x93 Project management software, Accounting software. Microsoft Office Suite, including Outlook, Word and Excel
