Job Responsibilities

With our Agency\'s mission to support the recovery of people with mental illnesses, we provide a complete array of medical and support services for children, adults, and families throughout South Carolina.

This position is located at the Department of Mental Health, Division of Inpatient Services, Northeast Campus, Columbia, SC 29209.

As the Administrative Assistant, under the direction of the A&D Director, you will coordinate and supervise daily Admission activities at the assigned Admissions and Disposition Office. Adhere to written and unwritten policies related to various facilities/programs and/or departments.

Responsibilities include but are not limited to:

  • Supervision of Information Services: Set the example for support staff by displaying a professional demeanor, providing courteous service to visitors, patients being admitted, co-workers and hospital support staff (i.e. ensuring all visitation policies are followed as well as current DIS COVID-19 Screening protocols as directed). Ensures staff answer facility telephones in a prompt and professions manner at all times (i.e. ensuring support staff are always courteous and helpful with the people we serve, their families and any callers from the community and/or other areas within the department; while ensuring HIPPA requirements are being followed). Monitors announcements and ensure staff responds as needed during normal or emergency situations to physicians or other hospital staff whenever needed or requested.
  • Admission Referrals/Back Admission Navigation: Ensures Admission Referrals receive daily are immediately reviewed and accurately entered in the DMH data system (i.e. patient name, hospital number, location, referral date, signed and dated by employee entering data and filed). Monitors daily calls made to referral agencies and reviews Waiting List with staff for completeness (i. e. every agency was contacted, location, status verified as well as patients removed from list as needed). Consult with A*D Director as needed or directed when discrepancies are noted. Assist with Admission Navigation with Admission Referrals (i.e. ensures admission documents are obtained when needed or directed). In the absence of Admission Navigator, act as Navigator when needed, make appropriate calls to referral agencies, gather documents and consult with A&D Director, reviewing LPP, Medical Director and/or Program Director as needed.
  • Supervision of Admissions: Supervises all aspects of the daily admission process (as well as walk-ins) of psychiatric patients into the facility, including evaluating admission documents for legal compliance during the initial screening process. Ensures all patient related information (i.e. pre-admits, admissions and/or corrections) entered in Avatar are reviewed for accuracy. Ensures correctios are promptly made to records electronically and/or documentation. Supervises and/or assist with patient care provided by the A&D staff for all newly admitted patients into a DIS facility. Ensures contraband checks are properly completed on every patient admitted with assistance of escorting Police and/or Public Safety Officer as needed (Morris Village, Bryan Hospital and/or William S. Hall) and/or the waiting room.
Minimum and Additional Requirements

State Requirements: A high school diploma and work experience that is directly related to the area of employment. A bachelor\'s degree may be substituted for the related work experience.

Agency Requirements: A bachelor\'s degree and one (1) year responsible clerical or administrative experience; or a high school diploma and five (5) years\' experience.

Additional Comments

The selected candidate must be able to lift at least thirty-five (35) pounds, have the ability to stand and/or sit for extended periods, walk, reach, pull, push, stoop, bend and climb two(2)-three (3) flights of stairs. Also, must be able to work in a stressful environment and beyond scheduled hours or overnight as required to meet staffing needs.
