Position Summary

The Administrative Assistant is part of a two person office that manages and coordinates daily operations of the three departments (Biology, Neuroscience and Psychology) housed in the Life Sciences Center. This position will provide administrative and electronic services to the members of the departments, and identify/implement improvements to client support. The successful candidate will be a team player with strong organization, attention to detail, and computer skills. The ideal candidate enjoys working with the public and is eager to learn new IT platforms and new software applications as they arise.
Duties and Responsibilities:
Manages office and coordinates workflow.
Assists in record-keeping. Assists Heads of the three departments/programs during pre-registration periods.
Initiates student payrolls for the student workers and TA\xe2\x80\x99s.
Makes hotel reservations for departmental guests and visitors.
Maintains and updates department data as needed and maintains departmental websites.
Assists in preparation of reappointment, tenure and promotion files.
Manages and supervises Life Science library/lounge. Determines scheduling, reserves rooms and orders meals for meetings as needed.
Assembles various reports derived from student transcripts to assist in curricular development and student prize distribution.
Conducts occasional internet research on programs at other institutions. Assists in correspondence with students and prospective students.
Assists in organizing departmental social and professional events, and student honor society events, including reserving rooms, ordering meals, and ordering audio/visual needs.
Orders office supplies and maintains stock.
Processes requests for room access and updates spreadsheets throughout the year.
Assists with student course registration.
Other duties as assigned.
Qualifications
Minimum Qualifications:
Associate\xe2\x80\x99s degree or the equivalent and three years related experience required, or any combination of education, training, or experience that provides the required knowledge, skills and abilities.
Higher education experience preferred.
Excellent verbal and written communication skills.
Proficiency with MS Word, Excel, Outlook and PeopleSoft.
