Administrative Assistant II



About the Position

: We are looking for a highly organized and efficient individual to serve as the face and voice of the Oklahoma Department of Mental Health and Substance Abuse Services (ODMHSAS), ensuring a positive first impression of the agency. This position requires exceptional interpersonal skills, attention to detail, and the ability to handle a variety of administrative tasks, while providing exceptional customer service.



Job Highlights:



ResponsibilitiesManage incoming phone calls for the agency's main phone line Greet and assist guests visiting central office, ensuring visitor policy is followed Receive, sort, stamp, and distribute all incoming mail, interagency mail, and direct package deliveries to the mail room or receive when necessary Provide administrative support to Training Institute Initiates correspondence requiring knowledge of agency or program procedures and policies Maintains confidential or complex files Administers, prepares, or oversees administrative operational functions, such as preparing invoices and payments of claims, requisitions, purchase orders, bookkeeping or accounting, and other fiscal duties Represents agency, supervising official, or program area at meetings, conferences, or civic organizations Coordinates activities with internal and external customers Interviews callers, arranges appointments, and performs other office tasks and duties Utilizes advanced technological equipment and data processing equipment to provide requested information to internal and external customers; reviews coded and uncoded source documents; edits documents and reports; examines and verifies reports and other documents for completeness, appropriateness, adequacy, and conformity to established requirements, and resolves discrepancies and refers complex discrepancies to appropriate staff

Minimum Qualifications:

Bachelor's degree plus one year of technical clerical, administrative, secretarial, or general office work, or an equivalent combination of education and experience

Preferred Qualifications:

Customer service experience Experience with Microsoft Office Suite Experience using project management tools
