Provide administrative and clerical services which include greeting and screening visitors, answering questions and providing information in a timely manner and / or refer calls to others as appropriate.
Answer and route all incoming phone calls. Manage the office\xe2\x80\x99s voice mail system.
Manage career center\xe2\x80\x99s email account by routing and responding to emails daily
Receives, reads and prioritizes incoming correspondences and information. Screens out items to be handled personally and distributes remainder with necessary background material.
Manage and maintain appointment schedules and calendars for all professional staff
Make all necessary travel arrangements and performs required administrative follow-up and record keeping.
Develops, implements, and maintains paper and electronic filing systems for all office forms, brochures, handouts, flyers and other materials. Ensures that the system satisfies requirements for information security.
Manage, inventory and completes requisitions for office supplies, repairs of office equipment, printing and travel.
Handle routine student inquiries regarding career center services and policies
Creates, edits, formats, and revises a variety of documents and presentations using MS Word, MS PowerPoint and MS Publisher. Proofreads for grammatical, typographical and basic content errors.
Assist staff as needed to respond to routine requests for information and support on special projects
Minimum Qualifications These are the job duties for required of the position
Education A High School Diploma is required. Associate\xe2\x80\x99s Degree preferred.
Experience Minimum five (5) years of administrative experience. Experience in a college/university setting helpful.
Knowledge Skills and Abilities
General knowledge of and skill in the practical application generally accepted office practices and procedures.
Knowledge of computer systems and software packages, such as MS Word, MS Publisher, MS PowerPoint, MS Excel, Internet, email and calendaring software.
Must possess excellent organizational, project management, communication and interpersonal skills
Must be attentive to details and deadlines, flexible, and able to handle multiple tasks in a fast paced environment.
Must be able to relate to a diverse body of students, faculty and employers in a courteous and efficient manner
Ability to work independently; self-directed
Ability to communicate effectively both orally and in writing
Office environment, some physical lifting, bending, pulling and standing on step-stools will be required.
Conditions of Employment Special Requirement: A skills level assessment will be administered to candidates on Microsoft 2016 Word, Excel, and PowerPoint.
