ADMINISTRATIVE ASSISTANT

Dunham Trust Company (DTC) offers a wide range of traditional trust services designed to meet virtually any client need, from custodial accounts and safekeeping of assets to family trusts, wealth management and investment options. Headquartered in Reno, Nevada, Dunham Trust Company was chartered in 1999. The firm also has executive offices in Las Vegas, Nevada and Loveland, Colorado.

DTC is looking to hire a full time Administrative Assistant who will be responsible for providing administrative and back-up receptionist support as needed for the DTC Reno office.

This is not a remote or hybrid opportunity, the position requires Reno local residency and in-office work. We are not able to sponsor visas at this time.

Essential Functions:

  • Maintain strict confidentiality of all records and data received and produced.
  • Answer phones, screen calls and transfer as necessary.
  • Update Salesforce database with changes and/or new additions.
  • Make copies, scan and perform electronic filing of documents in Laserfiche.
  • Coordinate signatures and notary when needed.
  • Schedule in-person and virtual meetings.
  • Organize in-office meetings (meals, travel, conference room bookings, etc.).
  • Deliver documents to law offices and/or CPAs as needed.
  • Upkeep breakroom and kitchen on a daily basis.
  • Ensure proper shipment of outgoing mail and packages, maintain related supplies.
  • Assist with other administrative tasks as assigned.
Back-Up Functions: (Secondary responsibilities)

  • Back-up receptionist for lunches and breaks on a regular basis.
  • Back-up receptionist\xe2\x80\x99s primary responsibilities when she/he is out of office.
  • Back-up for Sr. Administrative Assistant.
  • Meet and welcome Company clients and visitors, answer questions, and direct them to the appropriate DTC resource.
  • Sort mail for distribution and route faxes to designated individual or department.
Education and Education Required:
  • High school degree; AA or bachelor\'s degree preferred.
  • Minimum of 3-5 years of equivalent experience
  • Prior experience with Microsoft Office Suite \xe2\x80\x93 Outlook, Word, Excel, PowerPoint.
Special Skills Required:
  • Strong attention to detail.
  • Excellent organizational skills.
  • Ability to prioritize multiple projects and responsibilities.
  • Ability to think and work independently as well as in a team environment.
  • Accurate data entry and communication skills, both verbal and written.
  • Knowledge of office systems and procedures.
  • Working knowledge of office equipment like printers, fax machines, and copiers.
  • Experience in the trust industry is preferred.
  • Knowledge of Salesforce a plus.
Dunham offers a complete benefits package to full-time employees who regularly work more than 30 hours per week. Interns and temporary employees are not eligible for these benefits.
