We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer literacy, excellent communication skills, and experience in office management. This role involves managing front desk duties, handling multi-line phone systems, and providing exceptional customer service to clients and staff. The Administrative Assistant will play a vital role in maintaining efficient office workflows, supporting various administrative functions, and ensuring a professional environment. Bilingual abilities are a plus to effectively serve diverse clientele.
Responsibilities
Greet visitors and manage front desk operations with professionalism and courtesy
Answer and direct calls using multi-line phone systems, demonstrating excellent phone etiquette
Manage calendar appointments, schedule meetings, and coordinate events using Google Workspace and Microsoft Office tools
Perform data entry, filing, and proofreading to ensure accuracy of documents and records
Handle correspondence via email and phone, providing exceptional customer support and support to internal teams
Maintain office supplies inventory and place orders as needed
Assist with bookkeeping tasks using QuickBooks or similar accounting software
Support office management tasks including organizing files, managing office equipment, and supporting special projects
Provide personal assistant duties as required, including calendar management and travel arrangements
Ensure the office environment remains organized, clean, and welcoming
Qualifications
Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks, data entry, filing systems, and proofreading preferred
Excellent communication skills with professional phone etiquette; bilingual abilities are a plus
Strong computer skills including familiarity with office management software and general computer literacy
Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
Previous experience as a receptionist or personal assistant is advantageous; experience in medical or dental reception is a plus
Demonstrated time management skills with the ability to prioritize tasks effectively
Prior customer service experience is highly valued
