SALARY -$20-$24/hour

SUMMARY Under general direction, is responsible for performing office management, administrative and secretarial tasks in support of an Assistant or Associate Executive Director. Performs a variety of complex, responsible, administrative and secretarial duties through frequent use of independent thought and judgment.

ESSENTIAL DUTIES AND RESPONSIBILITIES The incumbent in the position will perform all or some of the job duties that are listed below: \xe2\x80\xa2 Performs office management tasks, requiring prioritization and assignment of work for other clerical or secretarial staff and providing technical guidance to same; coordination of information from and acting as liaison to other departments. \xe2\x80\xa2 Utilizes independent judgment in order to conceptualize and implement systems and procedures for operation of office. \xe2\x80\xa2 Arranges schedule of appointments for supervisor, exercising discretion in committing supervisor\xe2\x80\x99s time and in referring caller or visitor to another appropriate source of information or service. \xe2\x80\xa2 Answers telephone and screens calls for Assistant or Associate Executive Director. \xe2\x80\xa2 Directs all important situations, inquiries and questions to appropriate party. \xe2\x80\xa2 Prepares from brief oral instruction, written draft or composes correspondence requiring discrimination and judgment in selection of data or interpretation of regulation or agency policy. \xe2\x80\xa2 Types memos, policies, minutes, etc. on personal computer. \xe2\x80\xa2 Compiles a variety of narrative and statistical reports, locating sources of information, devising forms, needed to secure data; determines proper format for finished reports; and may edit draft reports for grammatical and punctuation errors. \xe2\x80\xa2 Takes minutes of management, Board of Directors and other confidential meetings \xe2\x80\xa2 Maintains office supply inventory, ordering supplies by originating requisitions and monitoring receipt of supplies. \xe2\x80\xa2 Receives, reads, sorts and distributes in-coming mail and packages. \xe2\x80\xa2 Screens incoming mail and brings priority items to supervisor\xe2\x80\x99 immediate attention. \xe2\x80\xa2 Keeps track of staff attendance, vacations and sick leave and verifies accuracy of Time and Attendance forms. \xe2\x80\xa2 Establishes, maintains, revises and updates a filing system for Assistant or Associate Executive Director. \xe2\x80\xa2 Performs photocopying and collating as needed. \xe2\x80\xa2 Sets up coffee and other refreshments for meetings as requested. \xe2\x80\xa2 Performs ongoing administrative tasks such as setting up conferences or training seminars. \xe2\x80\xa2 Performs other related duties as requested.

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. \xe2\x80\xa2 Ability to read, write, speak and understand English. \xe2\x80\xa2 Excellent interpersonal skills are required in order to interact effectively with employees, co-workers, other departments, outside contacts, etc. \xe2\x80\xa2 Due to sensitive nature of the position, must be able to maintain the strictest confidentiality. \xe2\x80\xa2 Ability to work independently and handle multiple tasks simultaneously. \xe2\x80\xa2 Fully conversant with agency selected word processing and spreadsheet computer software programs. \xe2\x80\xa2 Excellent organizational skills. \xe2\x80\xa2 Ability to type correspondence and other documents in a variety of formats at a speed necessary for job performance. \xe2\x80\xa2 Knowledge of modern office practices and procedures including business correspondence, record keeping systems and office equipment. \xe2\x80\xa2 Excellent oral and written communications skills. \xe2\x80\xa2 Must pass agency computer based software typing examination.

EDUCATION and/or EXPERIENCE \xe2\x80\xa2 High School Diploma or GED. College or secretarial school preferred \xe2\x80\xa2 At least five years of related work experience.
