Job Description


Overview

Assist with various Accounts Receivable projects for Centerline Logistics and its subsidiaries, including generating invoices, timely response to customers/vendors, and monitoring contracts to ensure accuracy of billing of jobs. Assist with the daily operations of Centerline Logistics accounts payable cycle through daily processing of invoices, posting of ship assist activities, batch postings, filing, etc. Assist with the month-end process and various close procedures.

Responsibilities

  • Daily generation of invoices as directed by AR Lead
  • Monthly generation of invoices & posting of charter activity
  • Responsible for emailing customer\xe2\x80\x99s requested documentation (invoices, credit memo\xe2\x80\x99s and/or other statements)
  • Monitors contracts to ensure the billing of jobs are appropriate and accurate
  • Ensures internal revenue recognition and procedures are consistent with the companies defined policies
  • Participates in development, implementation, and maintenance of AR and AP policies and procedures, as well as new technology in order to establish increased department efficiency
  • Provides ad-hoc assistance to other positions within the department
  • Accurate, courteous, timely response to customers/vendors
  • Accurate and timely maintenance of company files and records
  • Contribution to daily administrative activities of organization
  • Collections responsibilities as needed
  • Assists on other duties and projects as assigned
  • Assist with the month-end accounting close procedures as needed.
  • Assists accounts payable on vendor POs and invoice processing.
  • Maintains confidential filing system on portal and hard copy files.
  • Assists with tax audit documentation for various vessels.
  • Provides ad-hoc assistance to other positions within the department.
  • Provides guidance on maintaining vendor relationships while optimizing DPO.
  • Perform other duties as assigned.
Qualifications
  • Two (2) to five (5) years of related billing and payables experience
  • AA in Accounting or BA/BS in Accounting/Finance preferred
  • Strong organizational skills a must
  • Excellent computer skills using Microsoft Word, Excel, and Outlook
  • Flexible team player who can adjust to ongoing changes related to company growth
  • Versatile communicator with the ability to interact with different personalities
  • Excellent communication and customer service
  • Ability to work independently on assigned tasks with minimal or no supervision
  • Ability to understand and execute complex oral and written instructions
  • Assertive individual capable of achieving results while maintaining diplomacy and tact
  • Ability to prioritize and work in a fast paced environment
  • Take charge and ownership mentality a must
  • Must be able to read, speak, write, type, and understand English in person and over telephone
Job Condition and Environment
  • Ability to work with office staff and all company contacts/vendors
  • Must be physically fit enough to carry office supplies
  • Required to sit for long periods of time
Expected Hours of Work
  • Normal office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday. However, there may be a need for overtime to meet deadlines for month end, AP, AR, or other projects when needed
