Compensation for this position is in the $42k to $47K range depending on qualifications and experience. I $500 Signing Bonus

Summary: Performs administrative and clerical functions for the accounting department

Duties and Responsibilities

Duties & responsibilities include, but are not limited to, the following:

ACCOUNTING:

  • Processes AIP payments
  • Daily premium checks for all Auxiliary Insurance Programs (AIP), including Life, Dental, Long-Term Care Disability, and Immediate Benefit Plan (IBP.) *
  • Maintains payment reports file for all the above premium payments. *
  • Process AIP Direct debit files *
  • Process credit card payments
  • Retrieve Defense Finance Accounting Service (DFAS) file from SunTrust & post payments to Dashboard (bi-weekly) *
  • Process employee payroll deductions (AIP insurance plans) in Dashboard & retrieve reports (bi-weekly) *
  • Update Member direct debit changes (new, cancellations, bank account info changes) *
  • Process AIP returned payments
  • Processes any returned payments (Nonsufficient Funds -NSF, Account Closed, etc.), updates Dashboard member record, correspond with member *
  • Provide Direct Debit (DD) returned worksheet to AIP team (monthly) *
  • Prepares letters for erroneous payments and non-sufficient fund payments when the automatic email in Dashboard is inaccurate or the member has no email address (monthly) *
  • Complete Cash excel file for monthly journal entry *
  • Petty cash & Travel cash Tracking \xe2\x80\x93 taking requests from employees, maintaining receipts supporting business purpose.
  • Providing data to Jr. Accountants so that they can allocate charges to accounts accurately, monthly, or as needed to replenish petty cash.
  • Provide travel cash advances signed receipt to Jr. Accountant so that they can record Receivable.
  • Customer service \xe2\x80\x93takes calls regarding direct debit issues/vendor relations. *
  • Monitor accounting email inbox and respond to members. *
  • Copying, printing, faxing, filing, scanning documents, opening and distributing mail. *
  • Orders (from the office manager) / stocks office supplies for the accounting department.
  • Create, edit, file, and maintain documents and databases. *
  • Coordinate meetings and meeting material. *
  • Provide conference call, logistical, and audio-visual support for meetings. *
  • Take committee and meeting minutes. *
  • AMEX & VISA statements to cardholders & follow up to ensure timely submission of expense reports. *
  • Download files from websites /other sources, save to T drive, or scan & distribute (ex. Scan bank & investment (Royal Bank of Canada-RBC, Merrill Lynch-ML/now Harvest Wealth) statements, Office of Personnel Management (OPM) statements, AIP reports from Dashboard & PowerBI, AMEX, VISA)
  • Edit and maintain the Accounting Department calendar. *
  • Coordinate with Accounting staff to organize files, and set up new year files and items sent to offsite storage. *

Strong use of Internet Explorer or equivalent and Adobe Acrobat or equivalent. Must know how to draft correspondence. Must be able to work independently and exhibit professional behavior at all times. Must have superior attention to detail and be able to check their own work.

Education/Experience:

High school diploma or general education degree (GED); or a minimum of one to two years related experience and/or training; or equivalent combination of education and experience.

Work Location:

The following are work locations that AFSPA utilizes: New Carrollton, Maryland Satellite Office; Washington, DC Headquarters; and hybrid remote. Work location will be assigned and/or changed based on business needs and at Management\'s sole discretion.
