JOB SUMMARY
The Wedding Operations Assistant plays a vital support role in ensuring the smooth execution of wedding events. Responsibilities include assisting with venue setup and breakdown, preparing spaces for site tours, relocating floral arrangements and cakes, and supporting beverage service. This role works closely with Facilities, AV teams, and external vendors to ensure all operational elements are in place and functioning properly. The assistant also supports the Wedding Sales Coordinator during client meetings by setting up materials and ensuring the chapel is guest-ready, contributing to a polished and welcoming experience.
HOW YOU WILL CREATE THE EXTRAORDINARY
Assists with venue setup for pre-function meetings by organizing materials and ensuring spaces are guest- and vendor-ready.
Preps sales office and event venues for site tours, maintaining cleanliness, staging, and stocked brochures/forms.
Provides day-of wedding support including dressing room setup/breakdown, floral placement, chapel staging, and guest seating.
Prepares amenities and gifts, maintaining adequate stock for Wedding Sales Coordinators.
Checks in daily floral orders, verifying accuracy and quality, and communicates issues to the florist for resolution.
Supports wedding coordination by preparing paperwork and maintaining organized records for each event.
Managing inventory and supplies across all venues, ensuring readiness and cleanliness.
Assists with PME coordination and ensures proper maintenance of venues and equipment.
Attends internal service training, buzz sessions and departmental meetings.
WHAT YOU WILL NEED
Must be 18 years of age or older
Work requires effective communication in English, both verbal and written form in a professional manner.
Work requires attention to detail and strong organizational skills.
Work requires a minimum of a High School Diploma.
Work prefers prior experience in wedding planning, catering or hotel reservations preferred
Must present a neat and professional appearance.
Work requires knowledge of computer programs including Word, Excel, Windows, LMS.
ADDITIONAL REQUIREMENTS
Fast paced environment, multiple tasks to be handled under time constraint
Must be able to lift and carry up to 30lbs
Comfortable standing, walking and moving for extended periods if time
Must be able to handle a heavy business volume, and sensitive situations relating to staff and guest problems, in a timely manner
