Position Summary
As a Warehouse Clerk, you will be responsible for maintaining the clerical work of daily warehouse operations, ensuring all data is accurate and processes are efficient and smooth. Your duties will cover inventory management, inbound and outbound record-keeping, order processing, and ensuring the work environment complies with federal and California Occupational Safety and Health Administration (OSHA) standards. You serve as the central hub connecting sales, logistics, and warehouse operations, and your diligence and professional integrity are key to ensuring the accuracy of company information and efficient operations.
Key Responsibilities and Tasks1. Inventory and Data Management
Inventory Counting and Reconciliation
Conduct precise inventory counts during the last week of each month, reconciling physical quantities with system data, ensuring high data consistency.
Professionally record and promptly, accurately report any discrepancies, strictly prohibiting concealment or alteration of data.
Responsible for recording and following up on scrapped, returned, and damaged shelving and accessories, ensuring system data accurately reflects the actual situation.
Inbound and Outbound Records
Responsible for the
highly efficient and precise
entry of information for all inbound and outbound goods, including product model, quantity, batch number, and storage location.
Print, distribute, and archive all inbound and outbound slips, Bills of Lading, and Packing Lists, ensuring the authenticity and accuracy of all documents.
Responsible for the replenishment management of used goods, including but not limited to the registration of used goods, inventory updates, demand submission, and coordination with relevant departments to ensure the effective utilization and efficient circulation of used goods resources.
2. Logistics and Order Coordination
Loading and Shipping
Assist the Warehouse Supervisor in professionally counting goods to be loaded. During the loading process, meticulously confirm product information with the client in person, take photos, and obtain client signatures to ensure accurate and error-free shipments.
Before loading, responsible for the final precise counting of outbound products and conducting detailed photo and text records. Photo requirements include: every packed product to be loaded must be photographed, and photos must clearly display the product condition, product label, and quantity, to ensure high precision and traceability of shipments.
Strictly adhere to the packing list for shipments. In case of document discrepancies, immediately report to the supervisor; unauthorized changes are strictly prohibited.
Company Driver Shipment Records
Responsible for managing shipment records for company-owned drivers, including recording driver names, shipment times, destinations, and mileage statistics.
Collect signed delivery receipts from drivers and properly file all signed documents for efficient traceability.
Ocean Container Management
Follow up on the progress of ocean container deliveries and pickups, maintaining close communication with the Trucking Company.
Coordinate and arrange container pickup plans with the Warehouse Supervisor, ensuring sufficient space and personnel for unloading.
Order Processing and Review
Daily track the completion progress of sales orders, rigorously review the quantity and dimensions of packed orders.
Timely and efficient communication with sales, purchasing, and finance departments to resolve issues such as out-of-stock orders, delayed shipments, or payment discrepancies.
3. Equipment and Tool Management
Equipment Maintenance Records
Responsible for maintenance records of main warehouse equipment (e.g., forklifts, strapping machines), including repair date, content, cost, and service personnel information.
Ensure the completeness of all maintenance records and regularly report equipment status to the supervisor.
Tool Issuance and Return Management
Responsible for daily issuance and return of warehouse tools, ensuring each tool has a corresponding borrower's signature and establishing a registration system for tool borrowing and returning.
Regularly count and check the condition of tools, promptly reporting any damaged or lost tools
.
4. Daily Warehouse Maintenance and Organization
Assisting with Cleaning and Organization
Assist the warehouse team in professionally organizing warehouse sanitation, ensuring work areas are clean and orderly, and aisles are clear, to maintain a safe and efficient working environment.
5. Safety and Compliance
OSHA Compliance
Assist the Warehouse Supervisor in recording and organizing OSHA-related documents, such as safety training records, forklift operator certifications (if applicable), and accident reports, ensuring the authenticity of all records.
Regularly inspect and record whether warehouse safety aisles, fire extinguishers, and emergency equipment comply with OSHA standards.
Document Archiving and Management
Responsible for the distribution, binding, organization, and preservation of all warehouse-related documents, including inbound/outbound slips, Bills of Lading, invoices, and ocean shipping documents.
Ensure all documents have a clear archiving system for quick retrieval when needed, and comply with California business record retention requirements.
6. Team Collaboration and Communication
Work Planning
Assist the Warehouse Supervisor in recording daily work plans and completion details for each warehouse employee, ensuring data is objective and impartial.
Collaborate closely with the warehouse team to ensure all tasks are completed efficiently and on time.
Communication and Coordination
Maintain transparency and open communication, acting as a liaison between the warehouse and management, accurately and efficiently conveying key information and data reports.
Warehouse Management Proposal Assistance
Assist the Warehouse Supervisor in drafting and refining various warehouse operation proposals, including but not limited to proposals for safe product stacking, inventory management optimization, inbound/outbound system process improvements, and overall warehouse operation procedures.
Responsible for professionally and accurately submitting the aforementioned proposals to the California Manager, ensuring clear communication of information.
Based on actual conditions, assist the Warehouse Supervisor in timely updating and submitting the latest optimization proposals.
Responsible for tracking and assisting in the implementation of the finally approved plans, ensuring the effective execution of all improvement measures at the warehouse level.
Obey and Execute Assignments
Obey and execute various tasks and work assignments dispatched by the warehouse supervisor.
Job Requirements
Education:
High school diploma or equivalent.

Proficient in Microsoft Office (Word, Excel), with basic data entry and analysis skills.
