Rooted Massage is hiring a Virtual Appointment Coordinator to support our growing wellness practice by managing all client scheduling needs. This fully remote position is perfect for someone who wants flexible work while helping clients book, cancel, or reschedule their massage appointments. This is a contractor role paid per task, making it ideal for individuals who enjoy simple, consistent work without the responsibilities of full administrative or clinical intake.

Compensation

$1.50 per completed scheduling task

A "task" includes:

Booking a massage appointment Canceling an appointment Rescheduling an appointment
With an average of 5-8 scheduling interactions per day, the monthly payout typically ranges from $225-$360 and can be paid weekly if needed.

Responsibilities

Manage daily scheduling requests through text, call, or online messages Book, cancel, and reschedule client appointments using Vagaro Maintain accuracy within the schedule to prevent conflicts or double-booking Notify massage therapists about last-minute changes Provide quick, friendly, professional communication that aligns with the Rooted Massage brand Follow all scheduling, cancellation, and late-policy procedures Support a positive and seamless customer experience for all clients
Qualifications

Strong customer service and communication skills Experience with scheduling or virtual receptionist duties (preferred) Ability to learn and navigate Vagaro or similar software Organized, detail-oriented, and dependable Must have consistent availability for daily scheduling needs Reliable phone and internet access Ability to maintain confidentiality and follow client privacy guidelines
