Immediate supervisor: Executive Director

Location: FOF Wellness & Spay/Neuter Clinic

Salary: $18/hr.

Hours: Full time, 40 hrs./wk

Overview



Working under the supervision of the Executive Director, the Spay & Neuter Clinic Client Services Coordinator is an integral administrator that is vital to the success of the Spay & Neuter Clinic portion of our organization. This individual is responsible for maintaining excellent communication and creating positive experiences for the Friends of Felines clinic clients. The employee will be required to follow specific direction and adhere to the policies and procedures in the employee manual. Friends of Felines employees should always represent our organization with professionalism and provide excellent customer service to all clients and visitors.

Duties & Responsibilities



AM check in of surgery patients coming into the spay & neuter clinic and occasional PM check out of the surgery patients being discharged. Training is provided.
Respond to daily emails from potential clients, schedule appointments via email and phone call, and perform data entry into the ClinicHQ database. Training is provided.
Maintain clear and concise records and perform accurate data entry. Communicate professionally and effectively with the surgery team and the FOF administration. Maintain positive relationships with the clinic clients including the other rescue entities (volume clients) we provide services to. Responsible for relaying any technical or performance related issues with the ClinicHQ database to the FOF Operations Manager and also to the ClinicHQ help desk. Troubleshooting issues when needed. Protect the confidentiality of all clients, visitors, and donors.

Education & Work Experience Requirements



Required:

Must be a high school graduate, or equivalent and 18 years of age.

Preferred:

1 yr of clerical or administrative customer service in any field.

Optional:

Associate degree (or equivalent military experience) in any administrative or animal science field.

Skills & Physical Requirements



Skills:



Impeccable customer service

in person, on the phone and through email communications IS REQUIRED*.
Close attention to detail and ability to multitask in a very busy clinic environment with frequent distractions. Capable of maintaining a high level of professionalism and calm demeanor in stressful situations. Fluent in speaking and writing in English.

Bilingual candidates are strongly encouraged to apply.

Competent in Google Docs, Google Sheets, Internet searches and basic data entry in the clinic and shelter database.

Physical & Workplace Standards:



Must be able to lift up to 20 lbs., bend, stoop and stand for periods up to 1 hour at a time. Must be consistently punctual in attendance as described in the employee manual. Must be able to be around and have physical contact with cats without endangering your health in any way (allergic, immunocompromised, hemophilia, etc.). Must have reliable transportation to and from scheduled shifts. Friends of Felines is a drug and alcohol-free workplace and drug screening may apply.
